Vacancy Name Office Manager Vacancy No VN10593 Status Active Country United States Region US City Stamford Description The Office Manager takes visible, end-to-end ownership of the day-to-day office environment. The role combines disciplined operational management with a proactive focus on employee experience, ensuring the office is welcoming, responsive, well organized and engaging. The successful candidate anticipates needs, makes sound routine decisions, follows through to completion and escalates matters appropriately. The role also includes responsible stewardship of the office budget, active vendor management, regular collection of employee feedback and proactive planning of events and workplace initiatives.
Key Responsibilities Workplace Leadership & Operations:
Function as the accountable owner of the office experience and daily operations, maintaining a visible and responsive presence in the workplace. Professionally manage reception, telephone, mail, catering, refreshments, supplies, scheduling, access keys, document support, and other day-to-day administrative services. Ensure employees, candidates, clients, visitors, and vendors receive prompt, warm, and professional support. Gather and consider employee feedback and preferences to enhance the workplace experience and office environment. Plan and support local office events in coordination with the event planning committee, bringing forward creative, engaging, and fun ideas that help strengthen the workplace experience. Use sound judgment to resolve routine matters independently and escalate material financial, legal, safety, security, or employee-related concerns promptly. Oversee the maintenance and servicing of printers, copiers, and other office equipment to support efficient day-to-day operations. Maintain awareness of applicable local health and safety requirements and escalate any necessary actions to the Head of HR or the Head of Region.Office Budget, Vendor Management & Administration:
Prepare and maintain the annual office budget for management approval; monitor commitments, invoices and actual expenditure; investigate variances; provide clear periodic updates; and recommend practical trade-offs. Source and manage vendors, review service quality and contracts, negotiate within delegated authority, and obtain approval before committing expenditure outside agreed limits. Process and route invoices and correspondence and coordinate related matters with Finance.Facilities, Health, Safety & Business Continuity:
Manage relationships with building management, janitorial and facilities vendors; oversee maintenance, repairs, office layout, and preventive maintenance, including scheduling regular maintenance, building repairs, and coordinating HVAC, lighting, plumbing and electrical services as required. Monitor office access and facility security and maintain required health and safety arrangements, risk assessments, first-aid supplies, training, and evacuation exercises. Maintain business continuity plans, contact lists and related information to support operational continuity.Technology, Travel & Business Support:
Coordinate with IT on equipment purchasing, distribution, troubleshooting, and recycling. Function as liaison with the travel agency. Support offsites, RFP presentations, document production, and other business support activities. Complete ad hoc office administration tasks and projects as requested by the Head of HR or Head of Region.Decision Making & Ownership:
Take ownership of routine purchasing, vendor selection, food and beverage choices and office events within approved budgets and delegated authority. Escalate matters requiring HR, Finance, IT, Compliance, or regional leadership input and keep stakeholders informed of significant decisions, risks, and outcomes. Key Requirements Bachelor's degree preferred, or an equivalent combination of relevant education, training and experience. Demonstrated experience owning office operations, facilities, workplace services, hospitality or a comparable service environment. Experience managing budgets, invoices, vendors and competing priorities with accuracy and follow-through. Strong working knowledge of Microsoft Excel, PowerPoint, Word and Outlook. Communicates with warmth and credibility, builds productive relationships across seniority levels, and creates a positive experience for others. Brings visible initiative and constructive energy and remains composed when priorities change. Takes responsibility for outcomes, exercises practical judgment, and progresses work independently while keeping the right stakeholders informed.
