You'll oversee the entire operation - from managing daily operations to ensuring exceptional patient experiences. This is a hands-on, multi-tasking role ideal for someone who thrives in a small team. Key Responsibilities Manage all scheduling in the Practice Better EHR, including new client intake, appointment reminders, cancellations, and waitlists. Serve as the first point of contact for prospective and current clients (phone, email). Handle billing and payments — including superbills, insurance verification (in-network and out-of-network), creating insurance claims, bookkeeping, etc. Maintain accurate client records and documentation within Practice Better in compliance with HIPAA. Coordinate with referring providers' offices.
Support marketing efforts:
social media scheduling, email newsletters, and referral relationship management with physicians/other providers. Manage Practice Better's automations, forms, packages, and client portal setup. Coordinate online programs as the practice grows. Act as a general problem-solver for whatever the dietitians need to keep client care running smoothly. Qualifications 1-3+ years of office management or administrative experience (healthcare/wellness setting strongly preferred) Direct experience with Practice Better (or strong experience with a comparable EHR/practice management platform such as Healthie, Simple Practice, etc). Comfort with basic medical billing concepts and insurance verification. Maintain full compliance with HIPAA privacy regulations. Strong written and verbal communication skills — you'll often be the "voice" of the practice. Highly organized, self-directed, and comfortable juggling multiple priorities in a small-team environment. Proficiency with Google Workspace and general office tech. Preferred Interest in nutrition/wellness. Experience with social media management or basic marketing tools (Canva, Mailchimp, etc.). Experience in a startup or small business setting where roles are flexible. Bilingual in English/Spanish preferred.
Pay:
$20.00 - $35.00 per hour Expected hours: 10.0 - 20.0 per week
