Job Summary We are seeking a dynamic and proactive Operations & Office Administrator to join our team and support our ground-floor growth initiatives. You will be the central hub of daily office functions, ensuring seamless operations, efficient communication, and effective vendor and team management. Responsibilities Oversee daily office operations, including managing schedules, coordinating meetings, and maintaining calendars for leadership and teams Handle vendor relationships by managing contracts, processing invoices, and ensuring timely deliveries of supplies and services Support human resources functions such as onboarding new employees, maintaining personnel records, and assisting with payroll processing using accounting or financial software like QuickBooks Organize company events, meetings, and training sessions to promote team development and engagement Manage bookkeeping tasks including filing financial documents, reconciling accounts, and maintaining accurate records in spreadsheets or accounting software Supervise clerical staff and coordinate administrative duties to ensure smooth office workflow Handle confidential information with discretion while providing excellent customer service to internal teams and external clients Utilize Microsoft Office tools extensively for document creation, data analysis, and reporting purposes Qualifications Proven experience in office management or administrative roles with strong organizational skills Demonstrated supervisory experience leading teams or managing projects effectively Proficiency in Microsoft Office Suite (Word, Excel, Outlook) along with familiarity with spreadsheets and office management software Experience with QuickBooks or similar financial software for bookkeeping and payroll processing Knowledge of vendor management, budgeting, and basic accounting principles Excellent communication skills with a professional phone etiquette across multi-line phone systems Ability to handle confidential information responsibly while maintaining high levels of accuracy in recordkeeping Prior experience in event planning, human resources support, or medical office management is a plus Strong technical proficiency combined with exceptional organizational skills to prioritize tasks efficiently Join us as an Operations & Office Administrator where your enthusiasm will fuel our growth!
