Full Job Description Overview:
The Dispute Resolution Center is seeking an organized, adaptable, and personable part-time Office Manager to support daily operations, training programs, client communication, and administrative coordination. This role is ideal for someone who enjoys working in a mission-driven nonprofit environment and brings professionalism, warmth, initiative, and strong organizational skills. This role is currently 20 hours per week with the possibility of increasing in the coming months.Job Requirments:
- Ability to communicate professionally and compassionately with individuals experiencing conflict or stress.
- Strong organizational and communication skills
- Experience in administrative, nonprofit, training coordination, or customer service roles preferred Ability to work independently and collaboratively in a small team environment
- Comfort learning and using cloud-based software, databases, Zoom, Google Workspace, Microsoft Office, and digital communication tools.
Job Duties:
- Serve as a primary point of contact for prospective clients, building trust while effectively communicating the DRC's services.
- Act as the first point of contact for the DRC.
- Respond to inquiries with professionalism, provide detailed information, and refer individuals to appropriate staff as needed.
- Maintain and distribute promotional materials, including flyers, brochures, and digital ads.
- Collaborate with social media consultant as needed
- Maintain visibility on external platforms such as Austin Lawyer, NAFCM, and TMTR.
- Promote training programs
- Oversee logistics for the 40-hour and Family Mediation Training programs.
- Manage registrations and purchase orders.
- Prepare training materials for attendees, trainers, and coaches.
- Issue certificates of completion and maintain compliance with program standards.
- Maintain accurate records and ensure timely completion of administrative processes and documentation.
- Assist staff with basic day-to-day technology troubleshooting and coordinate with IT vendors when needed.
- Coordinate recognition efforts, including mailing cards, fulfilling DVD orders, and organizing staff and volunteer appreciation events.
- Provide administrative and logistical support for TAM conferences and Austin Mediators Association events.
- Perform additional administrative responsibilities as assigned, contributing to the overall efficiency and success of the DRC.
- Maintain organized digital and physical filing systems.
- Track administrative deadlines, renewals, and recurring operational tasks.
- Identify inefficiencies and recommend process improvements to support a modern, efficient office environment.
