The ideal candidate will possess strong computer literacy and excellent organizational skills. As an Office Manager, you will be the backbone of our administrative functions, fostering a positive office culture and ensuring all operations run seamlessly. Duties Maintain accurate financial records in QuickBooks Enterprise (A/P and A/R) Process invoices and customer payments Set up new vendors and request W-9s Process bills, print checks; make online vendor payments as needed Provide administrative support: data entry, office organization to all owners Reconciliation of each project Maintain insurance policies and certificates of insurance Prepare and process annual 1099 filings in January. Perform monthly bank and credit card reconciliations. Prepare monthly cash flow and sales reports for owners. Prepare all sales contracts Coordinate with outside accountants during tax preparation and year-end reporting Qualifications QuickBooks Enterprise experience (minimum 2 years preferred) Must be proficient in Microsoft Office Strong understanding of bookkeeping principles Ability to multitask and work independently Experience with a sales team a plus Excellent organizational and communication skills a must Office Management preferred 2+ years of Accounting experience a must
