Job Description
Overview We are seeking a dynamic and highly organized Office & Operations Manager to lead the administrative and operational functions of our organization. This role is vital in ensuring smooth daily operations, fostering a productive work environment, and managing a wide range of responsibilities including office management, team supervision, vendor relations, and financial processes. The ideal candidate will bring energy, efficiency, and a proactive approach to streamline workflows, support staff, and uphold the highest standards of confidentiality and professionalism. Duties Oversee daily office operations, ensuring all administrative functions run seamlessly and efficiently Manage scheduling for staff, meetings, events, and appointments to optimize productivity Supervise administrative staff and coordinate training & development initiatives to enhance team performance Handle vendor management including maintaining relationships, and ensuring timely service delivery Maintain accurate bookkeeping records using accounting software such as QuickBooks; oversee payroll processing and human resources functions Manage financial tasks including budgeting, expense tracking, filing invoices, and preparing financial reports using spreadsheets and accounting tools Ensure proper handling of confidential information with discretion while maintaining organized filing systems for food safety or other sensitive documents Oversee front desk operations including multi-line phone systems, client communication, customer service inquiries, and front office clerical duties Utilize Microsoft Office Suite extensively for document creation, data analysis in spreadsheets, calendar management, and correspondence Monitor office supplies inventory; implement process improvements to enhance overall office experience Qualifications
- 5+ years of experience in office management, operations, project coordination, or administrative leadership.
- Experience developing, documenting, and improving processes, workflows, and Standard Operating Procedures (SOPs).
- Strong project coordination and organizational skills with the ability to manage multiple priorities simultaneously.
- Exceptional organizational abilities.
- Excellent written and verbal communication skills.
- High attention to detail.
