Job Description
Chiropractic Office Manager Position Summary The Chiropractic Office Manager is responsible for leading the day-to-day operations of the chiropractic office while creating an exceptional experience for both patients and team members. This role requires a strong, experienced manager who can confidently lead people, maintain accountability, improve operational efficiency, and ensure the office consistently follows established systems and processes. The ideal candidate is an organized, proactive, and people-focused leader who thrives in a fast-paced healthcare environment. They are comfortable managing a team, addressing performance concerns, implementing processes, and holding themselves and others to high standards. Prior management experience is required. Experience in a chiropractic, healthcare, medical, or wellness setting is strongly preferred. Key ResponsibilitiesTeam Leadership & Management Lead, coach, and develop the office team to achieve individual and organizational goals. Provide clear direction, expectations, and accountability to all team members. Conduct regular one-on-one meetings, performance check-ins, and team meetings. Monitor employee performance and address performance concerns promptly and professionally. Recognize and celebrate team successes while fostering a positive, supportive, and accountable work environment. Assist with hiring, onboarding, training, and ongoing development of team members. Ensure team members are properly trained and consistently following established systems, checklists, and procedures. Serve as a role model for professionalism, communication, teamwork, and patient care. Daily Office Operations Oversee the daily operations of the chiropractic office to ensure the clinic runs efficiently and effectively. Ensure appropriate staffing and coverage throughout the day. Monitor patient flow and identify opportunities to improve efficiency and the overall patient experience. Ensure front desk and clinical support processes are completed accurately and consistently. Maintain a clean, organized, professional, and welcoming office environment. Identify operational challenges and take ownership of finding and implementing solutions. Ensure office policies, procedures, and company standards are consistently followed. Patient Experience Ensure every patient receives a warm, professional, and exceptional experience from check-in through check-out. Help create a culture where patients feel cared for, valued, heard, and supported. Address patient concerns and complaints professionally and work toward appropriate resolutions. Monitor patient experience and identify opportunities to improve retention, satisfaction, and engagement. Support the team in delivering consistent patient education and communication. Systems, Processes & Accountability Maintain strong adherence to company systems, processes, checklists, and standard operating procedures. Conduct regular audits to ensure processes are being followed and documentation is accurate. Identify breakdowns in processes and implement solutions to prevent recurring issues. Ensure updates to policies and procedures are communicated clearly and implemented consistently. Track and monitor key performance indicators and operational metrics. Hold team members accountable for meeting established expectations and goals. Financial & Administrative Oversight Monitor office performance and key financial metrics. Oversee daily financial processes, including collections, payments, and account accuracy. Ensure accurate handling of patient accounts and financial policies. Identify opportunities to improve office profitability, efficiency, and resource utilization. Assist leadership with budgeting, forecasting, and operational planning as needed. Maintain appropriate compliance with company policies and applicable healthcare regulations. Communication & Leadership Support Communicate effectively with doctors, leadership, and team members regarding operational needs and opportunities. Participate in leadership and team meetings and provide updates on office performance. Collaborate with other office managers and leadership to share best practices and maintain consistency across locations. Provide feedback and recommendations to leadership regarding staffing, processes, performance, and operational improvements. Take ownership of assigned projects and see them through to completion. QualificationsRequired Previous management or supervisory experience is required. Demonstrated ability to lead, coach, and hold employees accountable. Strong organizational and time-management skills. Excellent verbal and written communication skills. Ability to manage multiple priorities in a fast-paced environment. Strong problem-solving and decision-making skills. High level of professionalism, integrity, and emotional intelligence. Ability to handle difficult conversations and performance issues with confidence and professionalism. Proficiency with computers and common office technology. Ability to learn and effectively use electronic health records and other office management systems. Preferred Previous experience in a chiropractic, medical, healthcare, wellness, or other patient-focused environment. Experience managing a team of 5+ employees. Experience with healthcare office operations and patient management systems. Experience with insurance, billing, or patient financial processes. Experience managing performance metrics and team KPIs. Experience hiring, onboarding, and training employees.
