Job Description

Job Summary We are seeking a dynamic and highly organized Office Manager to oversee the daily operations of our busy office environment while also managing and supporting our internal production and office staff. This role is vital in ensuring smooth administrative functions, maintaining efficient office workflows, coordinating communication between departments, and helping keep daily operations running efficiently. The ideal candidate will be proactive, detail oriented, and possess strong leadership and communication skills with the ability to manage multiple responsibilities in a fast paced environment. Bilingual abilities and experience with office management tools are highly valued to help foster a productive, professional, and team driven workplace. Responsibilities Manage front desk operations, greeting visitors and handling inquiries with professionalism and warmth Oversee multi line phone systems, directing calls efficiently and maintaining excellent phone etiquette Coordinate calendar management, scheduling meetings, appointments, and conference rooms for staff Supervise and support internal office staff and production personnel to ensure daily tasks and workflows are completed efficiently Assist with managing schedules, communication, and coordination between office operations and field production teams Help maintain accountability, organization, and operational standards across office and production departments Maintain accurate records through data entry, filing, proofreading, and document management using Microsoft Office and Google Workspace Handle clerical tasks such as photocopying, faxing, mailing, and organizing office supplies to ensure operational efficiency Support bookkeeping activities using QuickBooks or similar accounting software for invoicing and expense tracking Provide customer service support by addressing client inquiries promptly and professionally while maintaining a positive office atmosphere Assist leadership with operational reporting, team coordination, and day to day administrative support Qualifications Proven experience in office management, administrative leadership, or operations coordination with strong organizational and multitasking skills Experience managing or coordinating office staff, production teams, or daily operational workflows is highly preferred Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications Excellent computer literacy with the ability to learn new software quickly Strong typing skills along with attention to detail for proofreading and data entry tasks Experience with multi line phone systems, phone etiquette, and front desk procedures Bilingual abilities are preferred to serve diverse client and team needs effectively Previous clerical experience including filing, calendar management, customer support, and staff coordination is highly desirable Knowledge of bookkeeping (QuickBooks), scheduling, or personal assistant experience is a plus Strong communication and leadership skills with the ability to thrive in a fast paced environment Job Summary Join our team as an Office Manager where your leadership, organization, and operational skills will help create a productive and efficient workplace. Pay:
$50,000.00 - $65,000.00 per year
