Business Office Coordinator Trailer Source LLC - Greenville, SC Full-Time Trailer Source is looking for a capable, organized Business Office Coordinator to manage the day-to-day flow of our front office and serve as a key connection between our customers, sales, service, parts, and management teams. This is not simply a receptionist position . We are looking for someone who can take ownership of administrative processes, confidently work with customers, handle financial transactions, and help keep multiple departments organized. The right person will be comfortable working in a fast-paced small-business environment where priorities can change throughout the day. You should be able to answer the phone one minute, check in a service customer the next, process a payment, locate a part, assemble a sales deal jacket, and make sure the paperwork and money associated with those transactions are accounted for correctly. Experience in a dealership, automotive/truck/trailer service business, equipment dealer, powersports dealer, or similar environment is highly desirable. Bilingual (English/Spanish) is a requirement! Primary Responsibilities Front Office & Customer Service
- Serve as the primary point of contact for customers entering or calling the dealership.
- Answer and route incoming phone calls professionally.
- Assist customers with general questions and direct sales or technical questions to the appropriate team member.
- Check customers out and accurately process cash, credit card, financing, and other approved payment methods.
- Maintain an organized, professional front-office environment.
- Communicate effectively with customers regarding service, parts, paperwork, and transaction status. Service & Parts Support
- Check customers and trailers in for service.
- Gather accurate customer information and document the customer's requested work or concerns.
- Create and maintain service work orders within our dealership management system.
- Coordinate with technicians and management regarding service status and customer communication.
- Assist customers with common parts requests and accurately identify or locate parts when possible.
- Create parts invoices and process parts transactions.
- Escalate technical questions to the appropriate technician or manager rather than guessing or providing inaccurate information.
- Help maintain an organized flow of service and parts paperwork. Deal & Administrative Processing
- Build and maintain complete sales deal jackets.
- Verify required customer, trailer, payment, financing, and transaction documentation.
- Maintain organized electronic and physical records.
- Assist with title, registration, lien, MCO, and other dealership documentation as assigned.
- Review paperwork for completeness and accuracy before transactions are closed or filed.
- Assist management with administrative projects and dealership reporting. Cash & Business Office Responsibilities
- Accurately receive and record customer payments.
- Maintain accountability for the cash drawer and daily transactions.
- Assist with daily cash reconciliation and deposit preparation.
- Track incoming payments and outstanding customer balances when assigned.
- Maintain accurate supporting documentation for transactions.
- Identify discrepancies and bring them to management's attention promptly.
- Assist with basic bookkeeping-related administrative functions as assigned. This position does not require you to be the company's accountant, but you must be comfortable working with numbers, understanding transaction flow, and maintaining accurate financial records. - Automotive, trailer, truck, equipment, powersports, or similar dealership
- Service writing or service advising
- Parts counter or parts department
- Dealership administration
- Office management
- Accounts receivable/accounts payable
- Bookkeeping or cash reconciliation
- Title or registration processing
- QuickBooks or dealership management software
- Customer-facing small-business operations Qualifications
- High school diploma or equivalent required.
- Bilingual with fluent Spanish required.
- Prior office administration, dealership, service, or business operations experience preferred.
- Strong computer skills and ability to learn new software.
- Strong written and verbal communication skills.
- Comfortable with basic business math and financial transactions.
- Ability to maintain accurate records and confidential information.
- Valid driver's license preferred.
What Success Looks Like Success in this position means the front office runs smoothly without management having to constantly oversee it. Customers are greeted and helped quickly. Calls reach the right people. Service jobs are entered correctly. Parts requests are handled or properly routed. Deal jackets are complete. Payments are accurately recorded. Cash reconciles. Paperwork does not disappear. Problems and discrepancies are caught before they become larger issues. Most importantly, the person in this position becomes someone management can trust to own the administrative flow of the business , not simply complete individual clerical tasks as they are assigned. Schedule Full-time, in-person position at Trailer Source in Greenville, South Carolina. Monday - Friday; 9am - 6pm. Compensation Competitive hourly or salaried compensation based on experience and demonstrated ability. Candidates with previous dealership, service-writing, parts, bookkeeping, or business-office experience may qualify for higher starting compensation.
