Job Description

Job Summary We are seeking a highly organized, proactive, and detail-oriented Office Administrator to join our growing organization. This role is essential to keeping daily operations running smoothly and supporting leadership across departments. The ideal candidate thrives in a fast-paced environment, enjoys juggling multiple priorities, and is eager to grow with a company that values efficiency, accountability, and teamwork. In addition to traditional administrative duties, this position will assist with compliance tracking, onboarding subcontractors, auditing workflows for efficiency, and supporting internal systems and reporting.
Responsibilities:
Administrative & Office Support Answer incoming phone calls, direct inquiries, and provide basic company information Perform clerical duties including filing, scanning, copying, faxing, and organizing records Type documents, drafts, correspondence, and reports Maintain physical and digital filing systems Manage incoming and outgoing mail, packages, and couriers Schedule meeting spaces and conference rooms Set up, organize, and maintain training rooms and meeting areas Purchase, track, and invoice office supplies for departments Assist with travel arrangements and expense reports Update staff calendars and coordinate schedules Support managers with reports, presentations, and documentation Operations & Compliance Support Schedule and track new leads Audit internal workflows to help improve efficiency Pull warranties and maintain warranty documentation Track Certificates of Insurance (COI) and ensure compliance Maintain overall compliance documentation and records Pull storm reports and relevant project data Assist with onboarding new subcontractors Update and manage internal rewards or incentive programs Events & Special Projects Assist in planning company events, meetings, luncheons, and team-building activities Support special projects as assigned by leadership Qualifications Excellent written and verbal communication skills Strong organizational and multitasking abilities Ability to work independently and manage competing priorities Detail-oriented with strong follow-through Comfortable working in a fast-paced environment Willingness to learn and grow with the company Professional demeanor and customer-service mindset Proficient in Microsoft Office / Google Workspace (Excel, Word, Outlook, Docs, Sheets, etc.) Prior office administration or operations experience preferred Why Join Us?
