Job Description
Job Summary This role is the first point of contact for our customers — answering and managing incoming calls, routing inquiries to the right department, and helping keep our sales pipeline moving by qualifying and scheduling leads for our Project Managers. The ideal candidate is personable, detail-oriented, and comfortable juggling multiple priorities in a fast-paced office environment. Responsibilities Answer and manage incoming phone calls in a professional, friendly manner Route calls and inquiries to the appropriate department or team member Qualify new sales leads based on established criteria Distribute and schedule qualified sales leads for Project Managers Provide helpful, friendly customer service to homeowners and callers at every touchpoint Maintain accurate records of leads, appointments, and customer interactions Assist with accounts receivable duties as needed (e.g., tracking payments, following up on balances) Support the sales and office team with general administrative tasks as needed Requirements Proven experience in office management or administrative roles with strong clerical skills Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications Experience with data entry, filing systems, and managing spreadsheets effectively Familiarity with QuickBooks or other bookkeeping software is highly desirable Excellent organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment Strong communication skills, including phone communication and customer support experience Technical proficiency in computer literacy, including familiarity with multi-line phone systems and productivity software Previous experience as a receptionist or personal assistant is advantageous Positive, friendly attitude with a customer-first mindset Join us as an Office Administrator where your energy, organization, and dedication will make a meaningful impact every day!
