We are seeking a dynamic and highly organized Office Manager to lead our administrative operations and ensure the smooth functioning of our office environment. This pivotal role involves overseeing daily administrative tasks, managing office staff, coordinating vendor relationships, and supporting various departments to foster a productive and welcoming workplace. The ideal candidate will bring energy, exceptional organizational skills, and a proactive attitude to drive efficiency and team success. Responsibilities Supervise daily office operations, including front desk activities, multi-line phone systems, and calendar management for staff and leadership. Coordinate event planning for meetings, company functions, and special events to ensure seamless execution. Manage vendor relationships, negotiate contracts, and oversee procurement processes to maintain operational excellence. Oversee human resources functions such as onboarding, training & development, payroll processing using QuickBooks, and maintaining employee records. Handle budgeting, bookkeeping, and expense tracking to support financial accuracy and accountability. Supervise clerical staff in filing systems, document management, and general administrative support tasks. Ensure compliance with office policies, maintain a professional environment, and promote effective communication across teams. Skills Proven experience in office management or administrative roles with strong organizational skills. Demonstrated supervising experience with team management capabilities. Proficiency in QuickBooks for payroll, budgeting, and bookkeeping tasks. Excellent communication skills with a focus on phone etiquette and client/vendor interactions. Skilled in event planning, vendor management, and calendar scheduling. Knowledge of human resources practices including onboarding, training & development. Experience managing medical or healthcare office environments is a plus. Familiarity with multi-line phone systems, filing procedures, and front desk operations. Ability to handle multiple priorities efficiently while maintaining attention to detail.
