Job Summary We are seeking a dynamic and highly organized Office Administrator to join our team! In this vital role, you will help ensure the smooth and efficient functioning of our office environment. Your energetic approach and attention to detail will support various administrative functions, manage communication channels, and enhance overall productivity. Whether managing schedules, handling client interactions, or overseeing office systems, your proactive mindset will drive our success forward. Responsibilities Manage front desk operations including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette. Perform data entry and maintain accurate records using spreadsheets, Word processing, and bookkeeping software like Microsoft Excel and Access. Oversee office management tasks such as filing, document proofreading, and maintaining office supplies inventory to ensure a well-organized workspace. Provide exceptional customer support by assisting clients via phone or in person, addressing inquiries promptly and professionally. Support administrative functions including mail handling, photocopying, scanning documents, and managing client communication logs. Assist in scheduling inbound and outbound shipments through client's brokered trucks Experience Proven clerical experience in an office environment with strong organizational skills and attention to detail. Demonstrated proficiency in Microsoft Office Suite (Word, Excel, and Access) Experience with QuickBooks or similar bookkeeping software is preferred. Excellent communication skills. Prior experience in customer service roles involving front desk responsibilities or phone communication is advantageous. Familiarity with multi-line phone systems, data entry procedures, filing systems, and calendar management tools is essential.
