This role involves coordinating inspections, managing tenant records, handling accounts payable/receivable, processing rental income, and ensuring compliance with property standards. The ideal candidate will possess excellent organizational and communication skills, and be comfortable working independently in a fast-paced office environment.
Key Responsibilities:
Accounting & Finance:
Perform routine bookkeeping tasks, including bank reconciliations and ledger management Prepare and issue checks for vendors, utilities, taxes, and other property-related expenses Track rent collection, deposits, and delinquencies; generate monthly financial reports Work with CPA or external accountant to maintain accurate records for tax purposes
Administrative Duties:
Maintain accurate and up-to-date tenant files and lease agreements Coordinate lease renewals, notices, and communication with tenants Manage property management software (if applicable) or digital filing system Order office supplies and manage vendor contracts
Property Oversight:
Schedule and conduct periodic property inspections (move-in, move-out, and routine) Coordinate with maintenance staff or vendors for repairs and maintenance issues Ensure compliance with housing codes, insurance requirements, and lease obligations Handle tenant issues, service requests, and complaints professionally and promptly
Qualifications:
2+ years of experience in property management, real estate, accounting, or office administration Strong knowledge of QuickBooks or other accounting software (preferred) Familiarity with local housing laws and property codes (a plus) Proficient in Microsoft Office Suite (Word, Excel, Outlook) Strong communication, problem-solving, and time-management skills Ability to work independently and handle multiple tasks simultaneously Reliable transportation for occasional site visits or inspections
