Our office runs on accuracy, compliance and taking care of the people we place. We're looking for a bilingual administrator to help keep that running. Position Summary The Bilingual Office Administrator keeps our branch compliant, accurate and organized. You'll make sure every candidate clears the required screenings, enter weekly payroll, keep time and attendance records correct, and handle advanced administrative work. You'll speak with candidates, employees and clients in both English and Spanish every day. Key Responsibilities Screening Compliance Make sure required pre-employment screenings are started, tracked and completed before start dates. This includes background checks, drug screens, I-9s and E-Verify. Review new-hire files for complete, accurate paperwork and follow up on anything missing Keep compliance records organized and audit-ready Tell recruiters and managers right away when something is out of compliance Payroll Entry Enter weekly payroll accurately and on deadline Check hours, pay rates, overtime, shift differentials and adjustments before submitting Resolve employee pay questions and discrepancies in English or Spanish Time & Attendance Collect, review and audit timecards from client worksites Track absences, tardies, no-call/no-shows, missed punches and edits Keep attendance records accurate and report trends to branch leadership Advanced Administrative Duties Maintain employee rosters, new-start and termination logs, and client order records Prepare reports, spreadsheets and correspondence for management and clients Onboard new hires and translate documents and conversations when needed Answer phones, greet walk-ins and support the recruiting team Qualifications Fluent in English and Spanish, both spoken and written (required) 2+ years of office administration, HR, payroll or staffing experience Experience with payroll entry and timekeeping systems Familiar with I-9, E-Verify, background checks and drug screening (preferred) Strong attention to detail and able to keep sensitive information confidential Comfortable with Microsoft Office and Google Sheets Organized, dependable and able to meet weekly deadlines High school diploma or GED required. Associate's degree or higher is a plus.
