$35,000-$40,000 annually About the role We're seeking a dependable Office Administrator to manage day-to-day financial and administrative tasks, maintain accurate records, support operations, and help keep the office running smoothly. Key responsibilities Manage accounts receivable and collections: prepare statements, follow up on past-due accounts, post payments Process accounts payable: review invoices, enter bills, prepare and issue payments, reconcile vendor statements Create and manage purchase orders (POs) and vendor relationships Prepare invoices and billing, distribute to customers, resolve billing questions Reconcile bank and credit card statements and maintain general ledger entries Maintain filing systems (electronic and paper) and office records Support payroll data entry and coordinate with payroll provider (if applicable) Answer phones, greet visitors, and provide general office support Prepare routine reports, assist with month-end close tasks, and support special projects as assigned Qualifications 2+ years office administration or bookkeeping experience, ideally with AR/AP and invoicing Proficiency with QuickBooks, accounting software, Basis, or similar financial systems preferred Strong Excel skills (spreadsheets, basic formulas) Excellent organizational, time-management, and communication skills High attention to detail and accuracy Ability to prioritize tasks and work independently in a fast-paced environment High school diploma required; associate degree or bookkeeping certificate a plus What we offer Competitive salary ($35k-$40k) Standard business hours with consistent schedule Supportive team environment and opportunities for skill growth Equal Opportunity Employer.
