Position Summary The Office Manager is responsible for the daily operations of the clinic, ensuring every patient receives exceptional service from their first phone call through completion of treatment. This individual leads the administrative team, manages clinic operations, supports providers, improves workflows, and helps drive practice growth while maintaining a culture of compassion, accountability, and excellence. Responsibilities Leadership & Team Management Lead, coach, and mentor front office and administrative staff Recruit, onboard, and train new employees Conduct performance evaluations and ongoing coaching Create employee schedules and ensure adequate staffing Foster a positive, team-oriented culture built on accountability Patient Experience Ensure every patient receives a welcoming, compassionate experience Resolve patient concerns professionally and promptly Monitor patient satisfaction and implement improvements Support patient advocates in delivering outstanding service Clinic Operations Oversee daily clinic workflow and patient flow Optimize scheduling for providers and treatment rooms Ensure timely communication with patients Maintain efficient office procedures and operational consistency Coordinate office meetings and staff communication Financial & Administrative Management Monitor daily collections and financial reporting Review billing accuracy and assist with insurance coordination when necessary Track key performance indicators (KPIs) Assist ownership with budgeting and operational reporting Manage vendor relationships and purchasing Compliance Ensure HIPAA compliance and patient confidentiality Maintain accurate documentation and office records Ensure OSHA and workplace safety standards are followed Support quality assurance initiatives Qualifications Required 3+ years of medical office management experience Experience supervising healthcare teams Strong leadership and conflict-resolution skills Excellent communication and customer service abilities Experience with EMR/EHR systems Strong organizational and multitasking skills Proficiency with Microsoft Office and Google Workspace Ability to analyze reports and improve operational efficiency Preferred Experience in chiropractic, physical medicine, pain management, neurology, functional medicine, or specialty medical practices Knowledge of insurance verification and medical billing Why Join Advanced Nerve & Health Center?
