The Office Manager will manage a variety of administrative tasks such as answering phones, handling incoming and outgoing mail, maintaining office supplies, catering, and providing support to the leadership team and various departments as needed to ensure that the office runs smoothly and efficiently.
Responsibilities:
Greet and welcome visitors, vendors, and guests in a professional and friendly manner. Answer, screen, and/or forward incoming phone calls, email, and in-person inquiries. Maintain and manage the front desk area, ensuring it is clean, organized, and welcoming. Handle mail and deliveries, ensuring proper distribution to the appropriate departments, as well as outgoing shipments. Manage the office calendar, scheduling appointments, and meetings for executives or team members as requested. Oversee office operations, including maintaining office supplies, equipment, and the general office environment. Coordinate and schedule meetings, events, and conference rooms as needed, including catering or off-site locations. Provide support for the onboarding and deboarding of employees. Develop and implement office policies and procedures to ensure efficient office operations. Maintain office budgets and ensure that expenses are kept within budgetary constraints. Assist with maintaining the company's filing system, both physical and digital. Coordinate travel arrangements and itineraries for staff members, as needed. Liaise with service providers, vendors, building management, and contractors to ensure facilities, office equipment and essential services are properly maintained.
