This hands-on role is central to keeping daily operations organized, supporting our field and office teams, and providing excellent service to our customers. The ideal candidate is a quick learner who communicates professionally, takes initiative, follows through, and can manage multiple priorities in a fast-paced environment. You will serve as an important connection between customers, employees, management, vendors, and ownership while helping the company continue to grow. You will also learn our services, pricing, scheduling, and operational processes, including landscaping, hardscaping, irrigation, lawn care, and landscape maintenance.
Key Responsibilities:
Customer Service & Communication Serve as a primary point of contact for customers, vendors, and other external contacts. Answer multi-line phones and respond to calls, texts, emails, and other inquiries promptly and professionally. Assist customers with questions regarding services, estimates, scheduling, projects, invoices, and payments. Follow up on leads, estimates, proposals, scheduling, projects, payments, and outstanding issues. Handle customer concerns professionally and coordinate appropriate resolutions. Maintain excellent phone etiquette and written communication. Scheduling & Operations Coordinate customer appointments, estimates, projects, meetings, and internal schedules. Coordinate daily schedules between estimators, crews, and management. Communicate job details, schedule changes, and updates to customers and field teams. Monitor calendars, appointments, deadlines, and potential scheduling conflicts. Assist with job tracking, project updates, production coordination, and overall operational communication. Help optimize scheduling and routing efficiency. Office & Administrative Management Maintain a professional, organized, and efficient office environment. Manage office supplies, equipment, records, and administrative needs. Maintain organized physical and digital filing systems for customer, project, permit, contract, and company records. Perform accurate data entry and prepare, proofread, and distribute documents and reports. Maintain calendars and assist with meetings, events, and special projects. Support ownership and management with administrative assignments and general office needs. Help develop and improve systems, procedures, and processes as the company grows. CRM, Technology & Job Management Maintain accurate customer and job information in Jobber or similar CRM/job-management software . Use CRM systems for customer management, scheduling, estimates, job tracking, invoicing, and related administrative functions. Utilize Microsoft 365, including Word, Excel, and Outlook, along with spreadsheets for tracking, calculations, and reporting. Learn new software, technology, and systems as needed and look for ways to improve efficiency. Team & Vendor Support Coordinate with vendors and assist with procurement, material orders, and timely delivery of supplies and services. Support employee onboarding, training, communication, and general team-management activities. Assist with company events and special projects. Build positive working relationships with customers, employees, vendors, and management. Process Improvement Identify inefficiencies and recommend practical improvements. Take initiative to solve problems rather than simply identify them. Help implement systems and processes that improve organization, efficiency, and scalability. Take ownership of responsibilities and provide dependable follow-through. Bookkeeping & Financial Administration (Preferred but not required) Assist with day-to-day bookkeeping using QuickBooks Online . Support invoicing, accounts receivable/payable, expense tracking, payment tracking, and financial recordkeeping. Assist with payroll, employee time tracking, commissions, sales tax preparation, and basic financial reporting as needed. Review transactions for accuracy and identify discrepancies or items requiring attention. Maintain confidentiality when handling financial, employee, and customer information.
Qualifications Required:
Previous experience in office administration, office management, administrative support, customer service, or a related role. Strong organizational skills and exceptional attention to detail. Excellent verbal, written, and customer-service communication skills. Strong computer literacy, including Microsoft 365 and spreadsheets. Ability to manage multiple priorities and work effectively in a fast-paced environment. Strong data-entry, filing, calendar-management, and follow-through skills. Comfortable working with numbers and performing basic mathematical calculations. Ability to work independently while also being an effective team member. Willingness and ability to learn new software, processes, services, and systems. Dependable, personable, professional, adaptable, and proactive.
Preferred:
Experience with Jobber or another CRM/job-management platform. QuickBooks Online or other bookkeeping/accounting experience. Payroll, accounts receivable/payable, sales tax, or financial reporting experience. Experience with scheduling, multi-line phone systems, vendor coordination, or team supervision. Experience in landscaping, construction, irrigation, home services, or another field-service industry. Bilingual abilities are a plus. Compensation will reflect relevant office-management experience, bookkeeping knowledge, software proficiency, customer-service skills, and the ability to take ownership of the responsibilities of the position.
