Comer & Company PLLC is a growing CPA firm in Colleyville, Texas, looking for a dependable, organized, and personable Office Manager / Receptionist to become an important part of our team. This is much more than a traditional receptionist position. We are looking for someone who can become the administrative hub of our office —welcoming clients, managing communications, keeping the office organized, assisting with billing and engagement administration, and making sure the day-to-day operations of the firm run smoothly. The ideal candidate is professional and friendly, but also someone who takes initiative, notices what needs to be done, and can work independently without needing constant direction. Key Responsibilities Front Office & Client Service Greet clients and visitors in a professional and welcoming manner. Answer and direct incoming phone calls. Monitor and respond to general office emails. Coordinate client appointments and meetings. Receive, organize, scan, and distribute incoming documents. Assist clients with basic administrative questions and direct tax/accounting questions to the appropriate staff member. Maintain a professional and organized reception area. Office Management Manage day-to-day office operations and supplies. Order office supplies and coordinate vendors as needed. Maintain office calendars and assist with scheduling. Coordinate incoming and outgoing mail and packages. Help establish and maintain efficient office procedures. Assist with onboarding new employees and maintaining employee administrative records. Coordinate office maintenance and other administrative needs. Billing & Administrative Support Assist with monthly billing and accounts receivable. Follow up on outstanding client invoices in a professional manner. Prepare and send client engagement and arrangement letters. Maintain client records and administrative information. Assist with new-client onboarding. Track administrative tasks and follow up to ensure they are completed. Provide administrative support to the partners and accounting/tax staff. Tax & Accounting Firm Support Assist with organizing client tax documents and electronic files. Help coordinate client information requests during tax season. Track outstanding client documents and follow up when necessary. Assist staff with administrative tasks related to tax and accounting engagements. Maintain confidentiality of client financial and personal information. Qualifications Required Excellent communication and customer-service skills. Comfortable using Microsoft Office, email, calendars, and general office technology. Ability to work independently and take initiative. Ability to maintain strict confidentiality. Preferred 2+ years of office administration, office management, receptionist, or client-service experience. Experience working in a CPA, accounting, law, financial-services, or other professional-services office. Experience with billing, accounts receivable, or administrative bookkeeping. Experience preparing or managing engagement letters. Familiarity with accounting or tax-office software. Experience working with QuickBooks or similar accounting software.
Pay:
$22.00 - $28.00 per hour Expected hours: 40.0 per week
