An Office Administrator is expected to provide professional administrative and operational support for the Ovivo Dallas Fab Shop while ensuring efficient office operations and effective coordination across departments. We are looking for a highly organized individual who is excited to be a part of changing how the world views our most critical resource - Water. What You Will Do Organize and prioritize daily work activities while adapting to changing business needs and department priorities.

Type, format, and prepare reports, correspondence, memos, and other technical or confidential documents.

Coordinate with departments and offices to ensure documentation is appropriate, complete, and accurate.

Maintain regular communication with key personnel across departments and office locations.

Establish and maintain filing systems and department databases.

Collect, submit, and track project time reports.

Support the finance team by obtaining required approvals and maintaining vendor and supplier invoice records.

Solicit pricing quotations from vendors and suppliers and prepare material request documentation.

Enter material request information into Syteline and prepare purchase orders.

Assist with special assignments and projects as requested.

Maintain office supply inventory to support daily operations.

Prepare and coordinate envelopes and small packages for shipment.

Perform all work in accordance with established safety procedures.

Maintain a clean, organized, and professional workspace.

Perform other duties as assigned.

Position Details This is an onsite role based out of Dallas, TX. Minimal travel may be required, primarily for training purposes. Minimum Qualifications High school diploma or equivalent.

Minimum three (3) years of directly related administrative experience in a production, manufacturing, design, engineering, or similar environment; and/or an equivalent combination of education and experience.

Proficiency with Microsoft Office applications including Word, Excel, and PowerPoint.

Ability to manage multiple tasks simultaneously and establish priorities with accuracy and dependability.

Ability to respond effectively to sensitive inquiries and situations requiring sound judgment.

Demonstrated ability to exercise independent judgment in the performance of job responsibilities.

Preferred Qualifications

Experience with Syteline ERP software.

Experience supporting purchasing, procurement, finance, or manufacturing operations.

University coursework or degree preferred.

Strong organizational and communication skills.

Ability to work effectively in a fast-paced environment while maintaining attention to detail. Annual or Hourly Compensation Range:

$24-26/hr Many factors are taken into consideration when determining compensation, such as experience, education, training, geography, etc. We comply with all minimum wage and overtime laws.
