Job Overview We are seeking a dynamic and highly organized Office Manager to oversee daily administrative operations and ensure the smooth functioning of our office environment. This role is vital in maintaining efficient workflows, supporting team members, and providing exceptional customer service. The ideal candidate will possess strong organizational skills, technical proficiency, and a proactive attitude to foster a productive and welcoming workplace. All positions are paid, emphasizing the importance of valuing every team member's contribution. Must be able to function in a fast-paced environment. This position requires the candidate to work a strict weekly schedule. The schedule is 8 am to 5 pm everyday with a 12 pm to 1 pm lunch. Duties Manage day-to-day office operations, including scheduling, supply procurement, billing, collections, project management, and facility maintenance Coordinate calendar management and appointment scheduling for executives and staff Oversee daily activities, greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette Maintain accurate data entry records using productivity software such as spreadsheets and word processing tools Handle clerical tasks including filing, proofreading documents, and preparing reports with attention to detail Utilize QuickBooks for basic financial record-keeping and expense tracking Support client communication efforts through effective correspondence and customer support interactions Support office staff and cover all positions in the office. Skills Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with spreadsheets for data management Strong computer literacy with technical proficiency in office management software and productivity tools Excellent organizational skills with the ability to prioritize tasks efficiently and manage time effectively Bilingual abilities are highly desirable to support diverse client and team communication Experience with front desk operations, customer service, and phone communication is essential Knowledge of multi-line phone systems and proper phone etiquette to handle inquiries professionally Previous office management or administrative experience demonstrating strong clerical skills and attention to detail Ability to perform data entry accurately while maintaining high productivity levels Personal assistant experience or calendar management skills to coordinate appointments seamlessly Effective proofreading skills for document review and correspondence accuracy Join us in creating a vibrant office environment where efficiency meets excellence!
