Full Job Description Description:
We are seeking an experienced and proactive Office Manager to oversee daily operations in a fast-paced office of 30+ employees. This role is essential to ensuring smooth administrative functions, supporting staff, and maintaining an organized and productive work environment.
Key Responsibilities:
Manage day-to-day office operations and ensure efficient workflow Assist attorneys and staff with daily requests Maintain vendor relationships and all firm accounts (i.e. monthly or yearly subscriptions and renewals) Support HR functions such as onboarding, employee records and open enrollment Assist leadership with reporting, budgeting, and operational tasks Accounts Payable (issuing and keeping track of monthly payments to vendors) Ensure office policies and procedures are followed and updated as needed Coordinate holiday events/ activities Efficiency in processing payroll and applicable laws/ requirements Reconciliation of firm credit cards Assist Billing Coordinator with internal billing process
Requirements:
Minimum of 2 to 3 years of experience as an Office Manager or similar role in an office with 20+ employees Strong organizational and multitasking skills Excellent leadership and team coordination abilities Proficiency in Microsoft Office and office management systems Strong communication and problem-solving skills Ability to handle confidential information with discretion
Preferred Skills:
Experience in [industry, if applicable—e.g., legal, real estate, corporate] Familiarity with HR and basic accounting processes Bilingual (English/Spanish) is a plus
