Job Overview New Plastic Surgery Practice in Frisco, Texas is seeking a highly organized, proactive, and professional Bilingual (Spanish) Office Manager to help lead the daily operations of our growing plastic surgery practice. This is a key leadership role responsible for overseeing administrative operations, supporting patient coordination, managing staff workflows, assisting with financial and vendor processes, and helping ensure the practice runs smoothly and efficiently. Our practice includes a clinical office and an in-office surgical suite, so the Office Manager must be comfortable working in a healthcare environment that includes both aesthetic consultations and surgical patient care. The ideal candidate is dependable, detail-oriented, solutions-focused, and able to create a polished, high-end patient experience while also managing the operational needs of a busy private practice. This position requires someone who can lead by example, take initiative, support the physician and team, and help establish strong systems as the practice grows. Experience in plastic surgery, aesthetics, dermatology, med spa, healthcare administration, dental, or another medical office setting is strongly preferred. Duties Practice Operations & Office Management Oversee daily office operations to ensure the practice runs efficiently, professionally, and on schedule. Manage front desk activities, patient flow, phone systems, office communication, and daily administrative workflows. Help create and maintain organized systems for scheduling, documentation, patient communication, inventory, payments, and vendor coordination. Ensure the office remains clean, organized, welcoming, and consistent with the high-end image of the practice. Monitor daily office needs and proactively address issues before they disrupt operations. Assist with the development and implementation of office policies, workflows, checklists, and standard operating procedures. Support the physician and leadership team with administrative, operational, and practice management tasks. Patient Experience & Patient Coordination Help ensure every patient receives a warm, professional, and luxury-level experience from initial inquiry through postoperative care. Oversee patient communications, appointment scheduling, consultation coordination, surgery scheduling support, and follow-up processes. Assist with handling patient questions, concerns, complaints, and service recovery in a professional and compassionate manner. Help ensure patients receive clear instructions regarding appointments, forms, payment deadlines, preoperative requirements, surgery preparation, and postoperative follow-up. Support the Patient Care Coordinator and front office team with calls, scheduling, check-in/check-out, and patient follow-up when needed. Maintain patient confidentiality and ensure all communications are handled with discretion and professionalism. Surgical Practice & Clinical Operations Support Assist with coordination of surgical cases, including preoperative appointments, postoperative appointments, patient documentation, payment deadlines, surgery packets, and required forms. Help ensure patients complete required consents, medical clearances, labs, and other preoperative requirements according to practice protocols. Coordinate with clinical staff, anesthesia providers, vendors, and outside offices as needed to support surgical scheduling and patient care. Support clinic and surgical workflow by helping ensure rooms, supplies, patient materials, and documentation are prepared. Assist with maintaining compliance-focused organization for clinical and surgical areas. Help ensure clinical, surgical, and patient care areas are stocked, organized, and ready for use. Staff Leadership & Team Coordination Help supervise administrative staff and support overall team accountability. Assist with training new employees on office workflows, phone etiquette, scheduling, patient communication, and practice policies. Support staff scheduling, daily task assignments, and workflow coordination. Help promote a professional, positive, team-oriented workplace culture. Identify workflow issues and recommend practical solutions to improve efficiency. Serve as a point of support for staff questions, patient issues, and daily operational needs. Assist with HR-related tasks such as onboarding, timekeeping support, employee documentation, and coordination of staff meetings as needed. Financial, Sales & Bookkeeping Support Assist with patient quotes, deposits, payment collection, balances, financing coordination, and payment tracking. Support consultation follow-up and surgery booking processes in coordination with the Patient Care Coordinator. Help track leads, consultations, quotes, scheduled procedures, and patient follow-up activity. Assist with basic bookkeeping and financial recordkeeping using QuickBooks or similar software. Help manage invoices, receipts, expense tracking, vendor payments, and financial documentation. Support reporting related to revenue, consultations, booked surgeries, inventory costs, and office expenses as requested. Maintain accurate records and assist with reconciling payments or financial information as needed. Vendor, Inventory & Supply Management Manage office, clinical, surgical, injectable, and general supply inventory. Monitor supply levels and coordinate ordering to prevent shortages. Receive, unpack, organize, and restock supplies as needed. Coordinate with vendors, service providers, equipment companies, supply reps, linen services, biohazard pickup, pathology pickup, cleaning services, maintenance vendors, and other third-party partners. Maintain organized records of vendor contacts, service schedules, invoices, warranties, maintenance logs, and supply orders. Help compare pricing, track deliveries, follow up on delayed orders, and escalate vendor issues when needed. Ensure the practice remains stocked, organized, and prepared for clinic days and surgical days. Front Office & Administrative Responsibilities Oversee and assist with answering phones, greeting patients, managing appointment schedules, and handling inquiries. Maintain accurate records through data entry, filing, proofreading, scanning, and document management. Coordinate calendar management for the physician, staff, meetings, surgeries, consultations, and vendor appointments. Manage correspondence using email, phone, text platforms, Microsoft Office, Google Workspace, and practice software. Assist with forms, patient packets, letters, reports, spreadsheets, and internal documents. Support general clerical tasks including photocopying, scanning, organizing files, and maintaining office records. Help ensure EMR/EHR documentation and administrative records are accurate and complete. Cleaning, Organization & General Practice Support Because this is a growing boutique practice, the Office Manager must be willing to assist wherever needed.
