Job Description

Position Summary:
We are seeking a highly organized and detail-oriented Office Manager to oversee and coordinate the daily operations of our office. The ideal candidate will be bilingual (English and Spanish required) and have extensive experience in QuickBooks Full Service, Accounts Receivable (AR), Accounts Payable (AP), payroll processing, tax compliance, and work order management. This role also requires strong proficiency in Microsoft Office, excellent communication skills, and the ability to effectively manage staff and day-to-day operations.
Key Responsibilities:
Financial & Accounting Duties:
Manage full-service QuickBooks operations including AR, AP, bank reconciliations, and invoicing. Process weekly payroll accurately and on time. Prepare and file workforce quarterly reports. Manage company sales tax filings and ensure timely payments. Process federal tax payments and ensure compliance with reporting requirements.
Office Administration:
Maintain and organize digital and physical records using Microsoft Office Suite. Manage internal and external communications, including email and call handling. Coordinate with vendors, service providers, and clients to ensure smooth office operations. Oversee work order tracking, job scheduling, and service documentation.
Employee & Operations Management:
Supervise administrative and office support staff. Assist with onboarding and training new employees. Maintain employee records and ensure HR compliance. Support management with operational and administrative tasks.
Required Skills and Qualifications:
Proven experience as an Office Manager or in a similar administrative role. Proficiency in QuickBooks Full Service , including payroll and accounting. Strong skills in
Microsoft Office :
Excel, Word, and Outlook. Experience with payroll processing, quarterly reports, and tax compliance. Excellent communication and organizational skills. Ability to multitask and prioritize responsibilities in a fast-paced environment. Strong attention to detail and accuracy. Bilingual - English and Spanish (Required).
Preferred Qualifications:
Associate's or Bachelor's degree in Business Administration, Accounting, or related field. Experience in a service-based, field operations, or construction-related company. Familiarity with job tracking or work order software, as well as third party invoicing platforms.
Work Environment & Schedule:
This is a full-time, on-site position .
Standard business hours:
Monday to Friday, 8:00 AM - 5:00 PM . Office-based with occasional interaction with field staff or clients as needed. Annual Bonus Incentive based on Company/Individual Performance.
Pay Range:
$15-$20 (initial rate set based on qualifications/experience)
