Job Title:

Office AdministratorJob Description The Office Administrator manages daily office operations and provides comprehensive administrative support to ensure the smooth and efficient functioning of the workplace. This role handles front desk duties, coordinates communication, supports multiple departments, and maintains accurate records while delivering professional customer service to internal and external stakeholders. Responsibilities

+ Manage daily office operations and administrative activities to ensure smooth business functioning.

+ Answer phone calls and emails promptly and professionally, and greet visitors in a courteous and welcoming manner.

+ Maintain office filing systems, both physical and digital, and organize documents for easy retrieval.

+ Perform accurate data entry and maintain up-to-date records in relevant systems and databases.

+ Prepare reports, presentations, and business correspondence with attention to detail and professionalism.

+ Coordinate and schedule meetings and appointments, including room bookings and calendar management.

+ Support human resources activities such as attendance tracking and related administrative tasks.

+ Handle incoming and outgoing mail and courier services, ensuring timely distribution and dispatch.

+ Monitor and help manage office supplies as needed to support daily operations.

+ Ensure office facilities remain clean, organized, and functioning properly by coordinating with relevant vendors or internal teams.

+ Assist different departments with administrative tasks and special projects as assigned.

+ Maintain strict confidentiality of company information, records, and communications at all times. Essential Skills + 1-3 years of office administration or office management experience.

+ Proficiency in Microsoft Office applications, including Outlook and Teams.

+ Experience with SAP for administrative or office-related tasks.

+ Strong administrative support and clerical skills, including filing and document organization.

+ Front desk and customer service skills, including professional phone and email etiquette.

+ Accurate data entry skills with strong attention to detail.

+ Ability to manage multiple tasks and prioritize in a fast-paced office environment.

+ Strong written and verbal communication skills.

+ Ability to maintain confidentiality and handle sensitive information appropriately. Additional Skills & Qualifications

+ Experience in general office administration and office management responsibilities.

+ Previous experience supporting multiple departments or teams.

+ Strong organizational and time-management skills.

+ Ability to work independently and as part of a collaborative team.

+ Comfort with preparing reports, presentations, and professional correspondence.

Work Environment This position operates in a professional office environment with standard business hours from Monday to Friday, 8:30 a.m. to 5:30 p.m. The role involves working on computers and using Microsoft Office applications, including Outlook and Teams, as well as SAP software. The Office Administrator works on-site, handling front desk responsibilities, interacting regularly with visitors and internal staff, and coordinating with various departments. The workspace is structured, organized, and focused on maintaining a clean, functional, and professional office setting. Job Type & Location This is a Contract position based out of Houston, TX. Pay and Benefits The pay range for this position is $25.00 - $25.00/hr. Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
