Job Summary We are seeking a dynamic and highly organized Office Administrator to join our team! Duties Manage front desk operations, including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette Oversee office management tasks such as filing, data entry, maintaining supplies, and organizing documents using productivity software and spreadsheets Coordinate calendar management and schedule appointments or meetings using Microsoft Office tools like Outlook and Word Handle client communication through phone calls, emails, and in-person interactions to ensure outstanding customer support and service Utilize QuickBooks for basic bookkeeping tasks such as invoicing or expense tracking when necessary Perform clerical duties including proofreading documents, preparing reports, and managing correspondence with strong attention to detail Support team members with personal assistant responsibilities like travel arrangements or time management tasks as needed Experience Proven office experience with a strong background in administrative support roles Demonstrated proficiency in Microsoft Office suite (Word, Excel, Outlook) and productivity software for data entry and document management Familiarity with QuickBooks or similar accounting software is preferred Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment Strong communication skills—bilingual abilities are a plus—and the ability to handle phone communication professionally Previous experience managing multi-line phone systems and front desk operations is highly desirable Technical proficiency in computer literacy, typing accuracy, proofreading, and file management is essential Fluency in Mandarin Join us as an Office Administrator and become an integral part of a vibrant team dedicated to excellence!
