  • $28.85/hr.
  • About the Role
  • We are seeking a highly organized and proactive
  • Office Administrator
  • to support the day-to-day operations of our Dallas-area office.

This individual will serve as a key point of contact for administrative functions, vendor coordination, office management, equipment requests, invoice tracking, and general business support. The ideal candidate thrives in a fast-paced environment, can manage multiple priorities, and enjoys providing exceptional support to internal teams and leadership.

  • Key Responsibilities
  • + Coordinate courier services and oversee shipments of company letters, packages, and other business materials.

+ Maintain efficient office operations and provide administrative support for daily business activities.

+ Assist with scheduling, reservations, and coordination of various office-related tasks.

+ Coordinate employee equipment requests, including computers and mobile devices, through the IT department.

+ Manage office supply requests and work with General Services to ensure availability of necessary materials.

+ Support onboarding and office setup needs for employees as required.

+ Process and manage payments through the SAP system.

+ Maintain and update invoicing and payment tracking reports.

+ Monitor payment timelines and follow up to ensure invoices are processed accurately and on schedule.

+ Coordinate the submission of tax certificates and supporting documentation as requested by the Tax Department and external tax advisors.

+ Maintain organized records and assist with administrative compliance requirements.

+ Provide administrative support to office leadership and employees.

+ Arrange restaurant reservations, coordinate appointments, and assist with general business requests.

+ Contact government agencies and public offices to track requests, obtain information, or facilitate business activities.

+ Assist with recording and filing legal documents with county offices as needed.

+ Serve as the primary liaison with building management.

+ Coordinate office maintenance requests, parking arrangements, vendor access, and facility-related matters.

+ Manage building invoices and ensure timely processing of related payments.

+ Support a safe, productive, and well-maintained office environment.

  • Qualifications
  • + Previous experience in office administration, office management, executive support, or a related administrative role.

+ Strong organizational and time-management skills.

+ Excellent verbal and written communication abilities.

+ Experience in handling invoices, payment tracking, and administrative documentation.

+ Proficiency with Microsoft Office Suite (Excel, Outlook, Word, PowerPoint).

+ Experience with SAP or similar ERP systems is preferred.

+ Ability to manage multiple priorities while maintaining attention to detail.
