Job Description

Position Overview The Office Manager reports to the President - AOC Fuels, and is responsible for overall front office activities, including the reception area, mail, office supply purchasing requests and office facilities. The incumbent will be responsible for supervision of office staff to ensure maximum productivity, while also assisting other Arnold Oil Company Fuels departments and perform the duties of other office employees, as a backup, upon their absence. The primary job functions include, but are not limited to: General office duties which include: Greeting visitors, answering a high-volume of incoming phone calls and delivering world-class service to our customers. Scanning various paperwork to be sent to the proper locations. Office supply management, purchasing and maintaining proper stock levels Use of email to communicate with co-workers and outside entities Filing paperwork Recording daily time records accurately Assisting walk-in customers and directing them in the proper direction Assisting vendors with any questions or issues they may having. Assisting Employees with questions or issues they may be having Assisting applicants and if needed, direct them to proper person or department Using computer and being able to navigate efficiently: Microsoft Outlook®, Excel®, Word®,
PDI, and TimeStar Accounts Payable:
Enter invoices into PDI, reconcile statements and expense reports Assist HR, Accounts Payable and Payroll as needed Assist with setting up New Hire Orientation for new employees Maintains good working relationships with customers and vendors. Act as liaison between employees and upper management Other tasks as assigned by management The skill requirements include, but are not limited to: Ability to work in a fast-paced environment Strong organizational skills for alpha and numerical file maintenance Keen attention to detail Ability to keep detailed records Courteous and polite manner with customers Good working knowledge of Accounting principles Ability to operate standard office equipment, e.g. copy machines, fax machines, telephone, computer, etc. Ability to maintain in confidence all sensitive information gained through the performance of assigned duties and responsibilities Ability to adhere to Company policies and work requirements Education Requirements High School Diploma #AOF123
