To manage all aspects of the imaging center's operations efficiently and smoothly. The Office Manager collaborates with technologists, referring physicians, and staff to ensure high-quality patient care and excellent customer service. Additionally, the Office Manager oversees the day-to-day administrative functions of the center. The Office Manager performs many tasks requiring both interpersonal and technical skills. Although state regulations vary, responsibilities may include the following:
  • Be familiar with all of the facility programs
  • Hire, train, develop, and mentor office staff (schedulers, medical records clerk, and receptionists).
  • Schedule office staff to provide excellent patient care and customer service.
  • Coordinate all aspects of patients' imaging care by monitoring patient flow and overseeing the work of office staff.
  • Work closely with technologists to coordinate patient care and to address clerical employee training needs.
  • Understand and explain insurance benefits and financial options in non-clinical terms.
  • Protect confidentiality of patient information.
  • Follow and enforce adherence to established policies, procedures, and regulatory requirements.
  • Hear and resolve complaints/concerns from patients, ordering physicians, and employees.
  • Conduct performance reviews for all staff employees.
  • Conduct meetings with staff to assure everyone is aware of goals and any changes/additions to policies and procedures.
  • Responsible for inventory management of supplies. May delegate this responsibility to staff members such as X-Ray Technologist and clerical staff.
  • Meet or exceed monthly operational goals, including, but not limited to, driving patient volume and maintaining the accuracy of patient information
  • Collaborate with the third-party billing team to ensure that all required information is accurately provided, allowing for smooth and uninterrupted insurance submission processes.
  • May assist front desk staff with patient check-in during busy times.
  • With the help of the imaging technologist schedule quarterly maintenance on imaging equipment as well as unplanned maintenance on equipment. Make schedule changes accordingly for downtime.
  • Understand and follow HIPAA regulations and maintain confidentiality.
  • Review and follow Employee Handbook to ensure consistent standards.
  • Maintain a professional working environment within the office team.
  • Plan quarterly profit and loss meetings with managing board.

  • Excellent customer/patient service and verbal communication skills. Previous healthcare or imaging center experience is preferred, but not required.
  • Previous management experience supervising 10 - 15 employees is required.
  • Ability to apply common sense understanding to carry out details written or verbally instructed.
  • Basic computer knowledge and experience with medical charting systems
  • Ability to work in a fast-paced, patient-focused environment.
  • Detail-oriented with the ability to multi-task.
  • Listening skills. The Office Manager must be able to listen to patients and employees and work to resolve questions/concerns.
  • Organizational skills.
The Office Manager should have excellent organizational skills to ensure all record-keeping and regulatory requirements are fully and accurately completed. The Office Manager may need to handle multiple, competing priorities. Previous imaging center experience preferred but not required. Bachelor's degree is preferred, but consideration will be given to candidates with comparable work experience. Previous supervisory experience is required. Requires excellent customer service skills.
