Administrator Position Objective:
Responsible for overseeing the administrative and financial operations of the facility. This role requires strong organizational, communication, and leadership skills to ensure efficient office management and compliance with healthcare and financial regulations.
Essential Functions and Responsibilities:
Financial Management:
Manage accounts receivable and accounts payable Oversee billing processes, including Medicare, Medicaid, private pay, and insurance claims Track and report revenue and expenses to ensure financial stability Conduct audits to ensure accuracy and compliance with financial regulations Administrative Oversite Supervise office staff and assign tasks to ensure efficient workflow Maintain resident records, ensuring confidentiality and compliance with HIPAA regulations Manage payroll processing and employee benefits administration Ensure timely filing of documents and correspondence with regulatory agencies Resident and Family Relations Assist residents and families with financial questions, including billing and insurance Provide support during the admission process, including financial assessments Resolve disputes or concerns regarding billing or payments professionally Regulatory Compliance Ensure all financial and administrative practices comply with state and federal laws Maintain accurate records for audits and inspectors General Office Management Manage office supplies and inventory Develop and implement office procedures to enhance efficiency Collaborate with other departments to ensure smooth operations of the facility Other duties as requested or required
Other Key Responsibilities:
Must maintain strict adherence to healthcare, financial, and privacy regulations (eg HIPAA, Medicare/Medicaid) Ensure compliance with state and federal guidelines Occasional after-hours work during audits, inspections, or special events Participation in staff meetings and facility planning Regular communication with other departments, such as clinical teams, social workers, and maintenance, to ensure smooth facility operations
Qualifications:
Bachelor's degree in Business Administration, Healthcare Management, or related field preferred Previous experience in a healthcare or nursing home setting, especially in financial or administrative management Strong knowledge of Medicare/Medicaid billing and insurance processes Proficiency in financial software and office tools Excellent communication, organizational, and problem-solving abilities Leadership skills to manage and train office staff Strong ethical standards and commitment to confidentiality Must be able to speak, read, write, and understand English Physical Requirements "Occasionally" equals approximately 1% to 33% of the workday, "frequently" equals approximately 34% to 66% of the workday, and "continuously" equals approximately 67% to 100% of the workday (typical full-time workday is 8 hours). 1)

Work Environment:
This role is mainly in an office setting but consists of regular collaboration with nursing home staff, including healthcare professionals, to coordinate operations. Frequent interaction with residents and their families,particularly forbilling, admissions, and financial consultations, is expected. The role involves handling multiple responsibilities simultaneously, including financial reporting, compliance, and supervising office staff.
