Job Overview We are seeking a dynamic and highly organized Office Administrator to join our team and ensure the smooth operation of our office environment. This vital role involves managing administrative tasks, coordinating communication, and supporting daily business functions with energy and efficiency. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills to foster a productive and welcoming workplace atmosphere. Responsibilities Manage front desk operations, including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette. Oversee calendar management, scheduling appointments, meetings, and coordinating events to optimize office productivity. Maintain accurate records through data entry, filing, and updating spreadsheets using productivity software such as Microsoft Office and QuickBooks. Provide exceptional customer service by assisting clients, responding to inquiries, and supporting client communication efforts. Handle clerical tasks including proofreading documents, word processing, and preparing reports with attention to detail. Support office management activities by organizing supplies, managing inventory, and ensuring the office environment is efficient and welcoming. Perform general administrative duties such as copying, scanning, faxing, and maintaining organized digital and physical filing systems. Skills Proficiency in Microsoft Office Suite (Word, Excel, Outlook) along with strong computer literacy and technical proficiency. Experience with QuickBooks accounting software and familiarity with spreadsheets for data management. Excellent organizational skills with the ability to multitask effectively in a fast-paced environment. Strong communication skills including phone communication and client interaction; bilingual abilities are a plus. Demonstrated office management experience with knowledge of clerical procedures and office best practices. Ability to handle data entry accurately while maintaining high levels of productivity and time management. Prior experience in customer support or front desk roles that emphasize professionalism and positive client engagement. Pay:
$18.58 - $19.68 per hour Expected hours: 20.0 - 40.0 per week
