Job Description
Are you the person who keeps an office organized, customers supported, the books accurate, and the team moving? McCain Waterworks Marketing is looking for an experienced Office Manager to run the day-to-day administrative operations of our North San Antonio office. This is a hands-on role with real ownership across office administration, QuickBooks, payroll, AP/AR, inventory coordination, customer service, and support for our sales team. If you enjoy being the go-to person in a small, growing business—and you take pride in making sure details do not fall through the cracks—we would like to meet you. The Opportunity You will be at the center of a close-knit seven-person company, working directly with the President while supervising two inside sales employees and supporting three outside sales professionals. You will help create an organized, responsive office where customers, suppliers, and employees receive excellent service. What You'll Own
- Manage daily office operations, procedures, supplies, vendors, service providers, mail, couriers, and general communications.
- Serve as the secondary point of contact for the company by phone and email and create a professional first impression for customers, suppliers, and visitors.
- Supervise two inside sales employees, communicate expectations, and document office staff performance.
- Support three outside sales employees and coordinate the annual conference and trade-show schedule, including registration and payment.
- Lead accounts payable, accounts receivable, bank deposits, and payroll for the company.
- Process local, state, and federal business taxes and review invoices, purchase orders, and expense reports for accuracy.
- Maintain product inventory par levels across four warehouses; obtain approval for large reorders and coordinate shipping and returns.
- Support the company's third-party IT provider, maintain confidential information, and work closely with the President on employee concerns.
- Help build a positive, team-oriented workplace and continually improve how the office operates. About You You are highly organized, dependable, and comfortable balancing people, numbers, customers, and competing priorities. You communicate clearly, follow through, and are willing to jump in wherever the business needs you.
- 5+ years of office management experience in a business of similar size and scope.
- 5+ years of QuickBooks experience with demonstrated proficiency.
- Experience with payroll, AP/AR, bank deposits, invoicing, and financial administration.
- Comfort supervising employees and supporting a sales team.
- Strong customer-service skills by phone and email.
- High school diploma required; bachelor's degree is an asset. Compensation & Benefits
- $80,000-$100,000 annual salary.
- $650 per month Health Spending Account.

- Full-time, on-site position: Monday through Friday, 8:00 AM-5:00 PM in North San Antonio (Bracken).
