Job Description

Must have optometric experience. Must know and understand every aspect of an optometry office is run from front end, clinic, optical, back house. Job Overview We are seeking an energetic and highly organized Office Manager to oversee daily administrative operations and ensure a smooth, efficient workplace environment. This pivotal role involves managing office procedures, supporting staff, and maintaining seamless communication across departments. The ideal candidate will bring a proactive attitude, exceptional organizational skills, and a passion for creating a productive office atmosphere. Your leadership will help foster a welcoming, well-run space that empowers teams to perform at their best every day. Duties Coordinate office activities and operations to ensure efficiency and effectiveness Manage front desk responsibilities, including greeting visitors and handling multi-line phone systems with professionalism and courtesy Oversee calendar management, scheduling meetings, appointments, and conference room bookings Maintain accurate records through data entry, filing, and updating spreadsheets using productivity software such as Microsoft Office and specialized accounting tools like QuickBooks Support client communication efforts by providing excellent customer service via phone, email, and in-person interactions Assist with clerical tasks including proofreading documents, word processing, and preparing reports Supervise office supplies inventory and coordinate procurement to ensure all departments are well-equipped Requirements Proven experience in office management or administrative support roles with strong organizational skills Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with spreadsheets for data management Technical proficiency with office equipment such as multi-line phone systems, printers, and fax machines Excellent computer literacy including data entry, file management, and document proofreading skills Bilingual abilities are highly desirable to facilitate communication with diverse clients and team members Strong customer service orientation with exceptional phone etiquette and client communication skills Experience with QuickBooks or similar accounting software is preferred for financial record-keeping Demonstrated ability to multitask effectively while maintaining attention to detail and time management skills Prior experience in front desk operations or personal assistant roles is advantageous Join us in creating an organized, welcoming environment where teamwork thrives!
