We have an exceptional reputation for service and expertise. We are seeking a highly organized and detail-oriented Office Manager to oversee day-to-day office operations, support our dispatch/scheduling team, and manage essential accounting and administrative functions. This role is ideal for someone who thrives in a fast-paced environment, is proactive in problem-solving, and enjoys managing people, systems, and processes.
ESSENTIAL DUTIES AND
RESPONSIBILITIESDispatch & Scheduling Communicate effectively by phone, text, and email with tenants and property managers to schedule repairs. Assign and dispatch jobs for maintenance technicians. Audit work orders for accuracy and missing information. Monitor job progress, keeping both tenants and clients updated. Maintain positive and encouraging relationships with technicians and tenants. Keep maintenance systems up to date (AppFolio & Service Fusion). Assist with in-house billing, maintaining KPIs, and keeping jobs updated. Accounting & Administrative Support Assist with accounts payable and receivable. Track expenses, invoices, and vendor payments to ensure timely processing. Prepare financial reports for management review. Maintain accurate records of billing, payroll, and work orders. Support budgeting and forecasting activities. Human Resources & Hiring Assist in recruiting, interviewing, and onboarding new employees. Maintain employee records, time-off requests, and compliance with HR policies. Coordinate training sessions and staff development programs. Support payroll preparation and benefits administration. Foster a positive office culture that encourages teamwork and productivity. General Office Management Oversee daily office operations to ensure efficiency. Maintain inventory of office supplies and equipment. Develop and enforce office policies and procedures. Act as a point of contact for vendors, clients, and staff. Ensure compliance with company standards, safety policies, and client expectations. Provide executive-level support to ownership and senior management when needed.
MINIMUM QUALIFICATIONS
High school diploma or equivalent required (Associate's or Bachelor's degree preferred). 2+ years of office management or administrative leadership experience. 2+ years of experience in dispatching, logistics, or scheduling. Basic understanding of accounting principles and financial reporting. Experience with HR functions such as recruiting and employee onboarding. Proficient in MS Office Suite and scheduling/accounting software. Excellent organizational, written, and verbal communication skills. Strong ability to multitask, prioritize, and perform under pressure. SKILLS Strong leadership and team management skills. High attention to detail and problem-solving ability. Excellent time management and organizational skills. Outstanding interpersonal and communication abilities. Professionalism and integrity in handling confidential information. Ability to adapt quickly in a fast-paced environment.
