Full benefits packageABOUT THE ROLE
Advanced Commercial Electronic Systems, a low voltage contracting company in Kanosh, UT, is looking for an experienced Office Manager to run our office independently. This is a hands-on, do-it-all role — not a traditional office job where tasks get delegated to a team. You'll be the only person in the office, handling everything from invoicing and purchasing to warehouse inventory, HR, and coordinating our field technicians. If you're proactive, self-directed, and just as comfortable organizing a warehouse as you are managing paperwork, we want to talk to you.WHAT YOU'LL DO
General Office & Administration- Independently run all day-to-day office operations
- Answer phones, respond to emails, and serve as the first point of contact for clients, vendors, and field staff
- Maintain filing systems, contracts, insurance certificates, licenses, and compliance documentation
- Prepare, send, and track invoices; manage accounts payable/receivable and collections
- Support payroll processing
- Assist with job costing, budgets, and basic bookkeeping (QuickBooks or similar)
- Prepare bids, proposals, and contract paperwork Field Personnel Coordination
- Schedule and dispatch field technicians, adjusting in real time as jobs change
- Track technician hours, job tickets, and certification/training records
- Communicate directly with clients on scheduling and job updates Warehouse & Purchasing
- Track inventory, stock levels, and reorder points for cable, devices, hardware, and consumables
- Place and track purchase orders; negotiate pricing where possible
- Receive, organize, and stage materials for upcoming jobs; prep job kits for technicians
- Keep the warehouse/storage area clean and organized
- Occasionally pick up or drop off materials or equipment (may require driving a company vehicle) HR
- Handle onboarding/offboarding paperwork, I-9s, benefits enrollment, and equipment issuance
- Maintain employee files and required compliance training records
- Support recruiting: post openings, screen candidates, coordinate interviews
- Track PTO, attendance, and basic HR compliance
WHAT WE'RE LOOKING FOR
Required- 3+ years of office management, operations, or administrative experience (construction/trades a strong plus)
- Comfortable with both desk work and physical tasks (lifting boxes, organizing stock, occasional errands) keeping all work area spotless.
- Working knowledge of QuickBooks or similar accounting software
- Basic HR knowledge (onboarding, compliance, payroll support)
- Strong self-management skills — able to run the office with minimal daily direction
- Valid driver's license
- Excellent communication skills Preferred
- Familiarity with low voltage systems (structured cabling, security, fire alarm, access control, AV)
- Experience with inventory/purchasing or field service software (ServiceTitan, Jobber, BuilderTrend, etc.)
- Prior experience in a small business or one-person office
