We're a fast-growing startup — the kind of place where priorities shift fast, and the right person can genuinely shape how things get built. About the Role We're looking for a Bookkeeper / Office Administrator to own the day-to-day financial and clerical operations of our company: AP/AR, reconciliations, payroll support, vendor and customer communication, general QuickBooks Online management, and the everyday office tasks that keep a growing company running smoothly. This isn't a role where you'll be handed a script and told to follow it — we need someone who can look at a situation, figure out what's actually going on, and fix it. We use AI tools daily to move faster (drafting communications, checking calculations, catching errors before they become problems), and we're looking for someone comfortable working that way — not replacing judgment with AI, but using it as a real tool to work smarter. What You'll Do Manage day-to-day bookkeeping in QuickBooks Online (accrual basis) Process accounts payable and accounts receivable, including vendor bills, customer invoicing, and collections follow-up Reconcile bank and credit card accounts, and maintain clean, audit-ready books Support biweekly payroll processing and related compliance tasks Communicate directly with vendors, customers, and internal team members on billing, payments, and account questions Track and manage intercompany transactions across multiple related entities Flag discrepancies, catch errors, and proactively solve problems rather than escalating everything Use AI tools to draft communications, verify calculations, and speed up repetitive work — while still applying your own judgment to catch what the tools miss General office & clerical support: Handle day-to-day correspondence: email management, drafting professional communications, and responding to routine inquiries Support HR-related coordination: onboarding paperwork, employee file organization, and general people-ops admin Assist with compliance-related paperwork and recordkeeping (e.g. insurance documentation, licensing/registration filings, vendor documentation) Maintain organized digital filing systems so documents are easy to find when needed Manage general office needs: ordering supplies, coordinating with vendors/service providers, and other tasks that come up in a small, fast-moving office Take on new responsibilities as they arise — at this size of company, the job description evolves, and we need someone comfortable with that What We're Looking For Solid bookkeeping fundamentals — you understand debits/credits, AR/AP, reconciliations, and basic accrual accounting, whether from formal training or hands-on experience Comfort with QuickBooks Online (or a fast learner if you're coming from a different platform) A self-starter mentality — at a startup, you won't always have someone to ask. We need someone who can make a reasonable call, move forward, and flag it if something needs a second set of eyes Strong written communication — you'll be emailing customers and vendors directly, and tone matters Comfortable using AI tools (like ChatGPT or Claude) as part of your daily workflow — happy to train the right person, but genuine openness to this way of working is a must Detail-oriented and trustworthy — you'll be handling sensitive financial information and need to take that seriously Prior startup or small-business experience is a plus, but not required — what matters most is your ability to problem-solve independently Strong organizational skills and the ability to juggle finance work alongside general office and administrative tasks without things falling through the cracks Why Duck View Real ownership over your work — you won't be one of ten people doing the same job A team that moves fast and values people who can keep up and think for themselves Room to grow as the company scales To apply, please submit your resume along with a short note on your experience with QuickBooks Online and any AI tools you use in your day-to-day work.
