The Office Administrator serves as the first point of contact for visitors and callers while providing essential support to company leadership and staff. This role is responsible for front office operations, maintaining accurate records within accounting and procurement systems, coordinating office supplies, payroll processing, and ensuring the timely completion of documentation and administrative workflows. This role supports efficient business operations through strong organization, attention to detail, and effective communication. Responsibilities may vary based on business needs and workflow demands.
Duties and Responsibilities :
- Greet visitors and direct delivery drivers while maintaining a welcoming reception area
- Answer and direct phone calls in a professional manner
- Collect, sort, and distribute incoming and outgoing mail
- Provide comprehensive administrative and receptionist support to company leadership, staff, visitors, and vendors.
- Enter financial data and transactions accurately into QuickBooks and Procore
- Monitor office supply inventory and place replenishment orders as needed
- Assist in the preparation of reports, presentations, and correspondence as needed
- Coordinate and organize company meetings and events
- Coordinate with third party IT professionals
- Monitor and complete purchase orders in the procurement system
- Support project teams by maintaining documentation, processing purchase orders, and tracking administrative requirements related to ongoing projects.
- Review and reconcile credit card receipts and enter them into the accounting system
- Monitor, distribute, and process forms submitted through Tyfoom software
- Manage company phones, cell phones, and iPads
- Coordinate facility maintenance and repairs to ensure a safe and functional work environment
- Must be a State of Utah Notary or willing to obtain certification upon hire
- Review employee timesheets for accuracy
- Process bi-weekly payroll, review employee timesheets for accuracy, and coordinate payroll submissions in accordance with company procedures.
Qualifications and Skills:
- High school diploma required
- Minimum of one (1) year experience in Office Administration or similar role
- Proficiency in operating multi-line phone systems, copiers, scanners, and other standard office equipment
- Excellent verbal and written communication skills
- Strong attention to detail and accuracy
- Ability to multitask and prioritize responsibilities
- Ability to work well with others and maintain a positive attitude
- Excellent organizational skills
- Previous office administration, accounts payable and payroll experience preferred
- Strong computer skills with the ability to learn new software systems quickly
- Proficiency in Microsoft Office, particularly Excel and Word
- Basic QuickBooks skills, including data entry and accounts payable
- Experience with Kojo procurement preferred
- Experience with Procore project management software preferred
- Familiarity with construction industry processes preferred
- Must be able to pass a pre-employment background check and drug screening
- Must be legally authorized to work in the
United States Physical Requirements and Work Environment:
- Work is primarily performed in an office setting
- Must be able to sit, stand, walk, and use standard office equipment for extended periods
- May occasionally enter warehouse, shop, or construction-related environments
- Must be able to lift and carry up to 25 pounds
- Must be able to communicate effectively with employees, customers, vendors, and delivery personnel in person, by phone, and electronically.
