Project Assistant Job Summary:

We are seeking a detail-oriented and organized Project Assistant to support our Project Managers throughout all phases of commercial and industrial construction projects. This position plays a key role in project coordination, documentation management, procurement support, job costing, and administrative functions. The ideal candidate is highly organized, proactive, and capable of managing multiple priorities in a fast-paced environment while maintaining accuracy.Duties and Responsibilities:
- Assist Project Managers in planning, coordinating, and executing projects from inception through completion
- Track and report project progress, milestones, schedules, and deadlines
- Set up and manage projects within project management software and maintain accurate project documentation
- Maintain internal job number structure
- Request, track, and maintain project Certificate of Insurance (COIs)
- Enter and maintain daily project reports and job-related data
- Prepare, price, track, and process change orders while maintaining accurate supporting documentation
- Provide administrative and project coordination support to Project Managers with daily basis
- Set up and maintain project information within Procore
- Prepare meeting agendas, record meeting minutes, and distribute action items
- Assist with estimating activities and the preparation of project bids and proposals
- Prepare and maintain material lists and procurement documentation
- Manage project draw requests, invoices, lien waivers, and other contract related documentation
- Manage project submittals, RFI's, drawings, and document control processes.
- Compile and organize Operations & Maintenance (O&M) manuals and closeout documentation
- Perform additional administrative, project coordination, and support duties as assigned
Qualifications and Skills:
- High School diploma or GED certificate
- Valid Driver's License with a satisfactory driving record
- Minimum of one (1) year experience in project coordination, project administration, or similar role
- Proficiency in operation standard office equipment, including multi-line phone systems, scanners, copiers and printers
- Experience with Procore project management software preferred
- Experience with QuickBooks Online and construction-related accounting processes preferred
- Proficiency in Microsoft Office Suite, including Excel, Word, Outlook, and Teams
- Familiarity with commercial or industrial construction projects preferred
- Knowledge of construction project documentation, including submittals, RFIs, change orders, draw requests, lien waivers, and closeout documents preferred
- Strong organizational skills with exceptional attention to detail
- Excellent verbal and written communication skills
- Strong work ethic, time management skills and the ability to prioritize multiple assignments and deadlines
- Ability to work independently with minimal supervision and as part of a team
- Ability to support multiple Project Managers and manage competing priorities effectively
- Must be able to maintain confidentiality of company and project information
- Must be able to pass a pre-employment background check and drug screening
- Must be legally authorized to work in the
United States Physical Requirements and Work Environment:
- Work is primarily performed in an office setting
- Must be able to sit, stand, walk, and use standard office equipment for extended periods
- May occasionally enter warehouse, shop, or construction-related environments
- Must be able to lift and carry up to 25 pounds
- Must be able to communicate effectively with employees, customers, vendors, and delivery personnel in person, by phone, and electronically
