Position Summary:
We are seeking a highly organized and experienced Office Manager with a background in both orthodontics and pediatric dentistry to lead the day-to-day operations of our dynamic, multi-specialty dental practice. This individual will be responsible for overseeing administrative processes, managing staff, ensuring exceptional patient service, and supporting clinical teams in delivering top-tier dental and orthodontic care.
Key Responsibilities:
Administrative & Operational:
Oversee daily front and back office operations to ensure a smooth and efficient workflow Schedule patient appointments for both dental and orthodontic services Ensure accurate patient records, billing, and insurance claims are processed efficiently Implement and monitor office policies and procedures in compliance with HIPAA and OSHA standards Maintain inventory and order dental/orthodontic supplies and equipment
Staff Management:
Recruit, train, and supervise front office and support staff Coordinate staff schedules, manage time-off requests, and ensure proper coverage Conduct performance evaluations and provide coaching for continued development Promote a collaborative and positive work environment
Patient Experience & Communication:
Ensure outstanding patient service from the first point of contact through post-treatment follow-up Handle patient concerns and resolve conflicts professionally and efficiently Educate patients on treatment plans, financial arrangements, and office policies
Financial & Reporting:
Monitor and manage budgets, payroll, and production/collection goals Generate regular reports on office performance and KPIs Work with billing and insurance coordinators to maximize collections and minimize
A/R Qualifications:
3+ years of dental office management experience required Direct experience in both orthodontic and general dentistry settings Strong understanding of dental and orthodontic terminology, procedures, and insurance processes Exceptional leadership, interpersonal, and problem-solving skills Excellent organizational skills with attention to detail and ability to multitask Working knowledge of dental practice management software
