Job Type Full time The University of Virginia's Office of the University Building Official (OUBO) has an exciting opportunity for a Document Manager and Permit Technician. Key Responsibilities Include:
Serve as the first point of contact for internal and external customers, providing responsive and professional support via email, phone, and in‑person Conduct preliminary intake reviews of submitted documents for completeness and formatting in alignment with the Higher Education Capital Outlay Manual (HECOM) Organize, file, and manage documents using OUBO's structured digital workflow; initiate review queues and prepare review templates Receive, route, track, and process building permit applications from submission to approval. Monitor project milestones, including completion dates and temporary occupancy deadlines; communicate reminders and ensure timely submission of required documents Review closeout documentation, prepare closeout memos for the Building Official, and support project teams through final stages of occupancy Maintain and update OUBO's website to ensure accurate, current information is available to partners and stakeholders Navigate and manage files in Microsoft SharePoint; assist with enhancements to digital workflows and file structures Participate in ongoing process improvement efforts to streamline document management and permitting workflows Attend Department of Housing and Community Development (DHCD) training to earn Permit Technician certification within 18 months of hire (funded and supported by the department) Provide general administrative support for the department and assist with special projects as needed Other duties as assigned Minimum Qualifications
Education:
Bachelor's degree. 4 years of relevant experience may be considered in lieu of a degree.
Experience:
At least two years of relevant experience. Demonstrated success to pivot and prioritize between tasks with immediate deadlines and independent work will be essential.
Required Certification:
DHCD Permit Technician certification required within 18 months of hire. Preferred Qualifications Experience in document or database management related to maintaining drawings, permits, inspections, and certificates of occupancy Experience with Bluebeam, construction document management practices, and Microsoft365 platform Experience with other Project Management software (ex: Trimble/eBuilder, Procore, GIS maps, etc) Physical Demands This is primarily a sedentary job involving extensive use of desktop computers. The job does occasionally require traveling some distance to attend meetings, and programs. The anticipated hiring range will start at $75,000 and will be commensurate with education and experience.
