Office Administrator-Contract Role Position Summary We are seeking a highly organized and customer-focused Office Administration Manager to oversee daily office operations and administrative services. This role is responsible for managing key business functions including reception, mail services, office administration, facilities coordination, office supplies, and administrative workflow. The ideal candidate is proactive, detail-oriented, and thrives in a fast-paced environment while leading administrative staff and supporting overall office efficiency. Key Responsibilities Office Operations & Administration Manage all office administration functions, including reception, front-end scanning, CRM administration, office supplies, and mailroom operations. Ensure efficient workflows and establish priorities to support daily business operations. Maintain accurate and organized onsite and offsite file storage systems. Oversee incoming and outgoing mail processing to ensure timely and accurate distribution. Ensure timely completion of printing, fulfillment, and presentation binding requests. Maintain office and kitchen supply inventory. Act as the primary contact for building management and tenant services. Coordinate building maintenance, office repairs, and mail delivery operations. Manage office furniture installation, repairs, and workspace setup needs. Develop and maintain strong relationships with external vendors and service providers. Serve as the primary key operator and vendor liaison for phones, printers, copiers, and fax equipment. Maintain iOffice software and communicate updates as necessary Participate in planning and coordinating office events, including holiday celebrations, awards events, and community service initiatives. Serve as project manager for office relocations and facility moves as needed. Ensure office phone lists are accurate and regularly distributed. Provide backup support for the Receptionist and Administrative Assistant when necessary. Qualifications Minimum of 2+ years of experience in office or administrative management. Strong customer service skills with a positive, customer-first mindset. Excellent organizational, multitasking, and problem-solving abilities. Ability to work independently with minimal supervision. Strong attention to detail and ability to learn complex systems and processes. Ability to adapt and remain effective during periods of change, ambiguity, or organizational stress. Strong communication and interpersonal skills. Proficiency with Microsoft Office and office management software preferred.Similar remote jobs
