Job Overview We are seeking a dynamic and highly organized Office Administrator to join our team! In this vital role, you will be the backbone of daily office operations, ensuring a smooth and efficient environment that supports our team's productivity and professionalism. Your energetic approach and attention to detail will help foster a welcoming atmosphere for clients, visitors, and staff alike. This position offers an exciting opportunity to showcase your administrative expertise while contributing to the overall success of our organization. Responsibilities Manage front desk operations, greeting visitors and directing them appropriately with excellent phone etiquette. Handle multi-line phone systems efficiently, ensuring clear communication and prompt responses to inquiries. Manage personal medical records and maintain patient confidentiality with regards to HIPAA standards. Coordinate calendar management and schedule appointments or meetings, ensuring optimal time management for staff and executives. Support client communication by preparing correspondence, proofreading documents, and managing email correspondence. Oversee office supplies inventory, place orders as needed, and ensure the office environment remains organized and functional. Requirements Proven experience in office management or administrative roles with strong clerical skills. Proficiency in Google Drive/office Excellent computer literacy with the ability to adapt quickly to new software tools and technical platforms. Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced environment. Exceptional communication skills, both verbal and written, including phone communication and customer support. Bilingual abilities are highly desirable to serve diverse client needs effectively.
