We are seeking a dependable, professional, and personable Full-Time Office Manager to manage the day-to-day administrative functions of our office. The Office Manager plays an important role in keeping the firm's administrative operations organized, efficient, and on schedule. This individual will work closely with the firm's partners, professional staff, and administrative team to help ensure that client service and office responsibilities are handled accurately and timely. The ideal candidate will be highly organized, comfortable managing multiple priorities and deadlines, able to work independently, and committed to providing friendly and professional service to our clients. Primary Responsibilities Manage day-to-day office operations, including correspondence, calendars, and general office coordination. Serve as a primary point of contact for clients and assist with telephone, in-person, and electronic inquiries as needed. Work closely with the firm's administrative team to coordinate daily administrative responsibilities and ensure appropriate office coverage. Maintain organized and accurate client files and help ensure established filing and document-management procedures are followed. Coordinate the receipt, organization, scanning, and distribution of client documents, with assistance from the administrative team. Assist with client billing. Maintain and monitor the firm's tickler and deadline tracking system , including tax filing deadlines, extensions, client deliverables, and other recurring administrative deadlines. Assist partners and professional staff with workflow coordination and monitor outstanding client information and administrative items. Work with the administrative team to coordinate tax-season client intake and finalization , including tracking incoming documents, monitoring missing information, coordinating signature and e-filing documents, and helping completed returns and other deliverables move through the finalization process. Coordinate incoming and outgoing mail, correspondence, deliveries, and client packages. Manage office supplies, equipment, maintenance needs, and some vendor relationships. Maintain established administrative procedures and recommend practical improvements when appropriate. Provide general administrative support to the partners and professional staff. Assist with increased administrative workload during tax season and other periods of high activity. Maintain strict confidentiality regarding client, employee, financial, and firm information. Help ensure that the office consistently presents a professional, organized, responsive, and welcoming environment. Required Qualifications Dependable and reliable , with a strong record of attendance and follow-through. Prior experience using QuickBooks . Friendly, welcoming, and professional demeanor. Strong organizational and time-management skills. Ability to manage multiple responsibilities, deadlines, and interruptions while maintaining attention to detail. Strong written and verbal communication skills. Comfortable communicating professionally with clients by telephone, email, and in person. Proficiency with Microsoft Office applications, particularly Outlook, Word, and Excel. Ability to work independently, recognize priorities, and take initiative. Strong attention to detail and commitment to accuracy. Ability to handle sensitive and confidential information with discretion. Demonstrated ability to follow responsibilities through to completion and recognize when issues require additional attention. Ability and willingness to work additional hours during the firm's busy season, generally January 1 through April 15 . Preferred Qualifications Previous experience as an office manager, administrative professional, or similar position. Experience working in a CPA firm, accounting firm, law firm, financial services firm, or other professional-services environment . Familiarity with tax-season workflows, document management systems, client portals, practice-management software, or deadline tracking systems. Experience with billing, payment processing, or basic bookkeeping functions. What We Are Looking For The successful candidate will be organized, dependable, professional, and willing to take responsibility for keeping the day-to-day administrative functions of the office running smoothly. We are looking for someone who recognizes priorities, follows through on responsibilities, communicates effectively with clients and coworkers, and is comfortable working independently while also functioning as part of a small team. Because this is a small office, the Office Manager should be willing to assist wherever necessary. Although part-time administrative staff will provide support with functions such as reception, client intake, finalization, scanning, and file management, the Office Manager should be comfortable stepping in when workload or staffing requires it. This is a full-time, in-office, non-exempt position in Richmond, Virginia . The position is eligible for overtime in accordance with applicable wage and hour laws. Due to the seasonal nature of public accounting, employees in this position should expect to work additional hours, including overtime, during the firm's primary busy season from approximately January 1 through April 15 .
