The Office Manager/Director of Enrollment emphasizes the promotion of the school, facilitates all aspects of the enrollment and admissions process and actively ensures smooth school operations at all times. S/he maintains a high level of confidentiality, exhibits a positive attitude and high level of organization, and has the ability to work independently as well as collaboratively with faculty and staff members.
Office Manager:
Daily Staff Substitutions beginning at 5:45am: check for text/phone/email messages from staff needing/arranging for substitutes. Note those people already called, aide the staff member if needed.
Daily Security:
ensuring the Front Office is manned at all times to interface with parents and assure a secure environment at all times. Process visitors until the Receptionist arrives, and any time in their absence. Process daily folders from all classrooms, distributing all information appropriately. Check daily emails from parents regarding students absentees, early departures, late arrivals, bus changes, health issues etc. Forward to appropriate teachers and staff. Assist parents with lunch orders, either ordering or hand delivery Answer any parent questions either directly or forwarding to appropriate party Manage student files: responding to requests for records (approximately 100 outgoing each year, and processing incoming, approximately 100 each year). Maintaining student records, assuring required documents are in place during each students' attendance, with help from the Receptionist. Assist with developing the Office Calendar each summer. Ordering and distributing supplies requested by teachers, and documenting all orders, and distributing all purchases to the appropriate staff member. Receipts to the Business Manager. Preparing class lists for distribution once provided by the Principal. Sending out a summer mailing to all families with detailed information regarding the upcoming school year, our Orientation, Bus Information, and School Supply Lists Coordinating and proofing the yearly updated School Supply list with teachers and the PTG, who supplies it to our School Supply Company. Updating the Sub List yearly, calling each person to update his/her information. Responsible for forwarding accurate information to all staff. Publish monthly menus for students and preschool. Include it monthly with the Friday Flash. Maintaining MAT/CPR training to help in the event of emergencies. Maintain Petty Cash Account in coordination with the Business Office. Act as School Counselor for 8th grade students applying to Public School Academies. Act as Administrator in the absence of the Principal and Assistant Principal.
Director of Enrollment:
Work closely with IT personnel to update and perfect online enrollment process.
Arrange Open House:
including announcements to churches for their bulletins, work with Marketing Department to advertise Open House and Enrollment. Input and Track Enrollment in Access Database Manager. Make phone calls offering spots and informing status of prospective students on waitlists. Continue all Spring and Summer as openings arise. Coordinate closely with the School Principal regarding numbers, class sizes, number of classes etc. Offer and give tours to all interested parties (approximately 50-75 per year). Secure all necessary information from families in order to input into Database and send out enrollment packets to all families, returning and new. Work closely with Discovery Department regarding number of new students requiring their program.
Qualifications:
Bachelor's Degree in Business Administration or a related field Strong organizational skills Service oriented approach Effective communication skills Experience with Google Suite and Microsoft Office 360 Excellent data entry and word processing skills Experience working in a busy school environment
