The Office Administrator is responsible for day-to-day office operations of a 16 person veterinary practice, compliance with company policies, customer service, employee administration and financial recordkeeping support. This role requires strong organizational and computer skills, attention to detail, discretion with confidential information, and the ability to effectively communicate with employees, customers, vendors, and management. Key Responsibilities Payroll & Financial Administration Process weekly payroll accurately and in a timely manner. Review and maintain employee timesheets and payroll-related records. Enter financial and invoice information into spreadsheets and company systems. Scan and upload invoices into VetBooks and maintain organized financial records. Reconcile petty cash and investigate discrepancies as needed. Assist with billing questions and resolve customer billing issues. Employee Recruitment & Onboarding Assist with recruitment and hiring processes. Coordinate and complete new employee onboarding. Set up new employees in QuickBooks, ezyVet, and applicable timekeeping systems. Maintain accurate employee records and personnel information. Report new hires to the Department of Labor as required. Communicate important employee information, updates, and company policies. Compliance & Insurance Assist with insurance audits and provide requested documentation. Help maintain compliance with company policies and applicable requirements. Maintain accurate records and documentation to support audits and compliance activities. Administrative & Office Support Coordinate appointments, meetings, and other business-related activities. Prepare agendas and materials for staff meetings. Assist with general administrative duties and office organization. Provide basic troubleshooting for computers, printers, and other office equipment. Coordinate communication between staff, management, customers, and outside parties. Customer Service Respond to customer complaints and concerns professionally and promptly. Research and resolve billing issues and other customer service matters. Escalate complex issues to management when appropriate. Qualifications & Skills Strong organizational and time-management skills. Excellent attention to detail and accuracy. Ability to handle confidential employee and financial information with discretion. Strong written and verbal communication skills. Proficiency with QuickBooks, ezyVet, Microsoft Office, spreadsheets, and related software. Ability to multitask, prioritize competing responsibilities, and meet deadlines. Strong problem-solving and customer service skills. Ability to work independently while also collaborating effectively with a team. Basic computer and office equipment troubleshooting skills. Previous experience with payroll, bookkeeping, human resources, or office administration preferred. Pay:
$30.00 per hour Expected hours: 25.0 - 30.0 per week
