Duties Serve as the first point of contact at the front desk, greeting visitors and directing calls using multi-line phone systems with professionalism and courtesy Manage incoming calls, emails, and inquiries efficiently while maintaining excellent phone etiquette Handle scheduling and calendar management for project meetings, appointments, and deadlines using Microsoft Office tools Maintain organized filing systems for project documents, contracts, permits, and confidential information ensuring easy retrieval Perform data entry tasks accurately into various software platforms including for bookkeeping and financial tracking Support office management activities such as supply ordering, inventory tracking, and equipment maintenance Assist with client communication by preparing correspondence, proofreading documents, and supporting customer service efforts Qualifications Proven experience in office administration or clerical roles within a construction or related industry Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and QuickBooks accounting software Excellent organizational skills with the ability to prioritize tasks effectively in a busy environment Exceptional communication skills both verbal and written; bilingual abilities are a plus Demonstrated experience handling confidential information with discretion and professionalism Familiarity with office management procedures including filing systems, data entry, and calendar coordination Previous experience in customer support or client communication roles is highly desirable Ability to type quickly with high accuracy; strong proofreading skills are advantageous Join us to be part of a team dedicated to excellence in construction project support!
