This is an important role in our business. We are looking for someone who can take initiative, stay organized, communicate professionally with customers, and keep track of the financial and administrative side of the business. Responsibilities Work directly with the business owner to manage daily office operations Answer phone calls and communicate with customers about their powder coating projects and parts Speak with customers professionally, answer questions, provide updates, and coordinate project details Help prepare and organize customer quotes and estimates Create, organize, and follow up on invoices Process and keep track of payments and outstanding balances Assist with payroll and employee records Keep business paperwork, files, and records organized Track expenses, revenue, and business profits Help monitor the financial performance of the business and provide organized information to the owner Enter and maintain accurate information in spreadsheets or accounting software Communicate with customers regarding pricing, scheduling, and completion of their parts Help keep track of incoming and completed jobs Organize the office and establish systems to keep information easy to find Assist the owner with administrative tasks and other day-to-day business needs Maintain confidentiality of business and employee information What We're Looking For Previous experience in an office, administrative, bookkeeping, customer service, or management position preferred Strong organization and attention to detail Comfortable answering phones and speaking with customers Good communication and customer-service skills Comfortable working with numbers, invoices, payroll, and basic financial information Experience with QuickBooks, spreadsheets, or similar software is a plus Reliable, responsible, and able to work independently Someone who takes initiative and can identify what needs to be done without constant supervision Professional and respectful attitude Ability to work closely with the business owner and become a dependable part of a small team Why Join Us?
