Job Description
Office Administrator Position Overview A growing company is seeking a highly organized, detail-oriented, and dependable Office Administrator to support the day-to-day administrative, customer service, and accounting functions of the business. This position plays a critical role in ensuring smooth office operations by providing exceptional customer service, maintaining accurate records, assisting with billing and accounting tasks, and supporting daily business operations. The ideal candidate is a self-starter who enjoys working in a fast-paced environment, communicates professionally, and possesses excellent organizational, problem-solving, and multitasking skills. Responsibilities Answer and manage incoming phone calls, emails, and customer inquiries in a professional and courteous manner. Provide exceptional customer service by assisting customers with service requests, shipment inquiries, billing questions, and general support. Prepare customer quotes and assist with customer account setup and maintenance. Prepare, review, and process customer invoices using QuickBooks. Generate and distribute invoices via email and mail. Process customer payments and assist with accounts receivable collections. Maintain accurate customer records, billing information, and digital filing systems. Manage incoming and outgoing company correspondence. Enter and maintain accurate information within company software and databases. Assist with payroll processing, employee onboarding paperwork, and general human resources administrative tasks. Coordinate office records, files, and company documentation. Order and maintain office supplies. Support management and operations staff with administrative projects and day-to-day office needs. Perform general clerical duties including filing, scanning, copying, document preparation, and record retention. Maintain confidentiality while handling sensitive customer, employee, and company information. Complete additional administrative duties as assigned. Qualifications & Skills Previous office administration, administrative assistant, customer service, bookkeeping, or accounting experience preferred. Experience with QuickBooks preferred. Strong computer skills with proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace (Gmail, Google Docs, Google Sheets). Excellent written and verbal communication skills. Strong organizational skills with exceptional attention to detail. Ability to prioritize multiple tasks and meet deadlines in a fast-paced environment. Professional, dependable, and customer-focused attitude. Ability to work independently while collaborating effectively with a team. Strong problem-solving skills and willingness to learn new software and processes. High level of integrity and ability to maintain confidentiality. Work Schedule & Location Part-time or full-time position based on business needs. Expected to work approximately 32-40 hours per week . Typical work hours are 9:00 AM to 5:00 PM , Monday through Friday. Start and end times may vary based on business and operational needs. Position is based in Colfax, WA . Applicants should reside within a reasonable commuting distance of Colfax, WA.
