Job Summary The Office Manager will oversee daily administrative operations, manage office resources, and support internal teams to ensure a productive and efficient work environment. This role requires strong organizational skills, attention to detail, and the ability to multitask in a fast-paced IT environment. The ideal candidate is highly organized, proactive, and service-oriented with the ability to coordinate multiple schedules, priorities, and communications while ensuring a smooth and efficient experience for both clients and staff. Key Responsibilities- Serve as the central coordinator for staff scheduling and workload management by proactively coordinating between clients, technicians, vendors, and internal teams to ensure appointments, projects, service requests, and operational priorities are assigned, communicated, tracked, and completed efficiently.
- Serve as the primary coordinator between clients, technicians, and management to facilitate scheduling, resource planning, appointment coordination, and communication regarding project and support activities.
- Answering phone calls and generating tickets.
- Ensure smooth office operations by organizing and maintaining administrative procedures and workflows.
- Utilize QuickBooks for invoicing, quoting, and reporting.
- Facilitate effective communication with employees, vendors, and clients through timely and professional correspondence.
- Maintain structured filing systems and documentation protocols.
- Support operational efficiency by scheduling and assigning tasks to direct reports, and monitoring progress to ensure timely completion.
- Generate and maintain weekly and monthly client reports to support service transparency and performance tracking.
- Manage daily office functions, including administrative support, resource coordination, and workflow optimization.
- Maintain company calendars, schedules, and project timelines to ensure alignment across teams.
- Coordinate hardware procurement and inventory tracking to support technical operations.
- Contribute to team success by proactively supporting cross-functional initiatives and completing related tasks as needed.
- Perform additional duties as assigned to support business needs. Qualifications

- Works well independently and in a team
- Strong ability to be proactive to ensure client and company needs are managed effectively.
- Strong proficiency in Microsoft Office Suite and office management software
- Excellent communication and interpersonal skills
- Ability to adapt in a fast-paced environment and manage competing priorities
- High level of discretion and professionalism
- Experience with basic accounting or bookkeeping is a plus
- Experience with administrative, scheduling, or office coordination responsibilities
